The Commercial Coordinator handles the daily office routine such as answering telephone calls, translating documents, handling in-and-out going correspondence, maintaining a systematic filing system, etc.
As the Commercial Coordinator, you will be responsible for performing the following tasks to the highest standards:
Translate Japanese documents and correspondences for the Commercial department.
Provide real-time verbal translations during interactions between Japanese and English.
Maintain a systematic filing system for all contracts, agreements, etc.
Maintain updated employment records of all local staff within the Commercial department.
Handle in-and-out going correspondence.
Answer the phones and pass on messages within the Commercial Department.
Assist in the preparation of reports required.
Perform other tasks that may be assigned from time to time by the Commercial Director.
Assist with duty rosters, leave applications and all data concerning the Commercial department.
Assist in purchase stock / inventory according to purchasing procedures and specifications.

In addition, this role requires the following minimum qualifications:
- Proficient in the English language and good Japanese and English translation skills to meet business needs.
- Proven experience in an administrative or secretarial role is preferred.
- Strong time management skills with the ability to prioritize and follow directions effectively.
- Confident in handling confidential information with discretion and professionalism.
- Well-organized with strong administrative and coordination abilities.
- A proactive, detail-oriented team player who thrives in a fast-paced environment.
- Well versed in the use of computer systems and Microsoft Office software.
- Excellent administration and IT skills
- Good typing skills
- Able to take dictation and meeting minutes.
- Committed to delivering a high level of customer service, both internally and externally
- Flexibility to respond to a range of different work situations
- Ability to work under pressure
