Job Summary:

Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Performs activities under a moderate degree of supervision.

 

We are looking for a talented Administrative Associate to join our Distribution business in (WEst Valley City, UT).

Will make an impact in the following ways:

  • Perform daily cash reconciliations and support accurate financial reporting activities
  • Process vendor invoices and payment requests through approved purchasing and accounting systems
  • Serve as the primary point of contact for customers, visitors, and incoming phone inquiries
  • Coordinate branch meetings, employee engagement activities, community events, and recognition programs
  • Maintain safety, compliance, and administrative records in accordance with company policies
  • Support branch operations through scheduling, reporting, data entry, onboarding activities, and office administration
  • Coordinate facility maintenance, office supplies, travel arrangements, and other branch support functions
  • Prepare reports, presentations, and other documentation using Microsoft Office and internal business systems

In order to be successful in this role you will need the following:

  • Strong administrative, organizational, and multitasking skills in a fast-paced environment
  • Experience supporting accounts payable, invoice processing, cash handling, or financial administrative activities
  • Excellent verbal and written communication skills with a customer-focused approach
  • Proficiency with Microsoft Office applications including Excel, Word, PowerPoint, Outlook, and Teams
  • High attention to detail with the ability to maintain accurate records and documentation
  • Ability to prioritize competing demands, work independently, and exercise sound judgment
  • Experience coordinating meetings, events, travel arrangements, and general office operations
  • Ability to handle confidential information professionally and maintain strong working relationships across teams



 

  • Perform daily OTC (Cash) reconciliations and ensure accurate financial reporting.
  • Prepare and deposit checks and cash receipts in accordance with company procedures.
  • Monitor and resolve outstanding balances using Cash Aging reports.
  • Process vendor invoices and payments through Ariba and other approved purchasing systems.
  • Coordinate with vendors and service providers for branch maintenance, repairs, and facility needs.
  • Plan, coordinate, and execute Employee Engagement, Environmental, and Community events and activities.
  • Organize and support branch meetings, events, functions, and employee recognition activities.
  • Serve as the primary point of contact for walk-in customers, visitors, and vendors.
  • Answer and route incoming phone calls to the appropriate team members.
  • Track, maintain, and submit safety documentation and compliance records as required by company and regulatory standards.
  • Maintain branch office supplies and coordinate ordering to support daily operations.
  • Assist with onboarding activities and administrative support for new employees.
  • Support branch leadership with reporting, scheduling, data entry, and other administrative functions.
  • Maintain accurate branch records, files, and documentation in accordance with company policies.
  • Coordinate travel arrangements, meeting logistics, and training schedules as needed.
  • Assist with customer service inquiries and support cross-functional communication between departments.
  • Generate, update, and distribute reports using Microsoft Office applications and internal business systems.
  • Identify process improvement opportunities to enhance branch efficiency and administrative effectiveness.
  • Perform additional duties and special projects as assigned.

 

Qualifications

  • Proficient in Microsoft Office applications, including Excel, Word, PowerPoint, Outlook, and Teams.
  • Strong organizational, communication, and multitasking skills.
  • Self-motivated professional with the ability to make informed decisions with minimal supervision.
  • Ability to prioritize competing demands in a fast-paced environment.
  • High attention to detail with a focus on accuracy and customer service.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Education, Licenses, Certifications: 
High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
This position may require licensing for compliance with export controls or sanctions regulations. 

Experience: 
Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.

Base salary rate commensurate with experience.
