Job Summary
The Construction Admin is responsible for defining, initiating, and overseeing the processes required when a new projects. He or She will provide high-level administrative support by research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. He or she will provide support and guidance through all phases of the project life cycle; from planning, procurement, and execution, through closing. The candidate will be responsible for maintaining a master contracts list and standard operating procedures for initiating projects at the company .
Essential Duties & Responsibilities
Support Department in driving project’s overall flow effectively from inception to completion.
Ø Review documents, submittals and bid sheets from estimating; review and understand scope for project turnover.
Ø Assist with project document control, including but not limited to, insurance, bonding, permits, submittals, RFI’s, change orders, correspondence, etc.
Ø Ensure documents are centrally saved in the project’s chosen document control software.
Ø Verify correct drawings are distributed to field.
Ø Assist with schedule of values, or billing format as required by the contract documents.
Ø Support project schedule showing completion, delivery dates and sub requirements. Integrate into overall project and manpower schedule as required.
Ø Request PO’s for major equipment and subs indicating shipping requirements, and anticipating delivery dates. (Request proper delivery notice at that time.)
Ø Partake in necessary meetings to review scheduling and delivery, work plans, job progress, manpower, and solutions to setbacks.
Ø Support accounting department in monthly billings and collections and follow up on outstanding balances.
Ø Collaborate with foreman regarding project safety. (Toolbox talks and weekly walk through.)
Ø Gather information for changes in work and turnover to estimating for pricing. P.M. will finalize C.O. pricing after estimating completes takeoff and attempt to maximize profit on C.O.s. Ensure no work starts prior to approval or notice to proceed.
Ø Escalate critical and/or sensitive issues to the Project Manager with recommendation for resolution.
Collaborate effectively and professionally other internal departments.
Ø Maintain confidentiality of department and company information.
Ø Monitor tasks delegated by executives to staff and follow up on results to ensure work is completed and deadlines are achieved; assign work to clerical staff when necessary.
Ø Comply with operations instructions, contracts, safety program, and Company established policies and procedures.

Qualifications
3-5 years related experience; construction industry preferred.
Ø High School diploma or GED required.
Ø Associate’s Degree from an accredited college or university or paralegal certificate desirable.
Ø Pursuing Bachelor’s Degree preferred.
Ø Knowledge of the construction industry and contracting practices.
Ø Working knowledge of federal, state, and city regulations and guideline
Ø Excellent organization, communication, and interpersonal skills
Ø High-level experience Business writing and reporting skills
Ø Scheduling and time management skills
Ø Strategic, analytical, and multi-task
