What this job involves:
The Assistant Facility Manager (AFM) plays a vital role as a collaborative supporter and member of the facilities management team, focused on delivering world-class operational service to our clients. In this position, you will liaise with colleagues and clients to identify, plan, estimate, organize, and schedule required resources before execution, ensuring efficient utilization of team capabilities. What your day-to-day will look like:
Assist the Facility Manager in meeting or exceeding site Key Performance Indicators (KPIs) by monitoring service level guidelines weekly to identify potential off-track areas and planning corrective actions accordingly
Oversee day-to-day facility operations including HVAC, electrical, mechanical, janitorial, maintenance, repair, and pest control systems to ensure seamless building functionality
Ensure client satisfaction with delivery of Facility Management services and take a lead role in monitoring and increasing customer satisfaction through proactive engagement
Support financial reporting, capital and expense budget preparation, variance reporting, and successful completion of client initiatives and KPIs
Routinely inspect buildings to ensure suppliers are meeting contractual agreements and maintaining quality standards
Assist in completing building audits and implementing findings to drive continuous improvement
Review, prioritize, and determine activities required for work order completion, working with suppliers to ensure complex work orders are planned and executed on time
Oversee daily work order review and follow up to ensure impeccable performance and superior customer experience
Recommend continuous quality improvement practices and identify business efficiencies that enhance service delivery
Required qualifications:
BA/BS degree or equivalent facilities work experience and education
Computer proficiency with CMMS (Computerized Maintenance Management System), MS Office including Word, Excel, PowerPoint, and Outlook
Excellent communication, presentation, client service, and follow-up skills
Strong organizational and project management ability
Proven ability to work independently with minimal direct supervision while maintaining accountability for results
Demonstrated willingness to learn, adapt, and embrace new approaches to facilities management
Preferred qualifications:
Knowledge of commercial real estate, building systems, accounting, and financials
Experience with invoice processing and accounts payable systems
Background in analyzing customer feedback and developing effective response plans
Experience working in collaborative, team-based facilities management environments
