About the Role

As the Executive Assistant you will partner closely with our local senior leadership team and provide trusted and high-level administrative support to the President and CEO of Ford Australia and New Zealand.

In this position, you will keep the CEO’s office running smoothly. You will manage a complex calendar, organise critical meetings, and handle daily communications with professionalism and care.  You will also oversee the day-to-day operations of our National Sales Company office in Richmond. This includes coordinating on-site events, conducting safety audits, and ensuring our office remains a clean, welcoming, and productive environment for our employees and guests.

Reporting directly to the CEO, this role is based at our National Sales Company office in Richmond, Victoria, under a hybrid four-day in-office work arrangement.

  • Proactively manage and optimise the CEO's complex, high-priority schedule, coordinating commitments to ensure executive time is strategically aligned with key business priorities.

  • Organise executive-level meetings, secure necessary resources, and ensure all prep work and agendas are finalised in advance.

  • Manage incoming and outgoing communications for the CEO’s office, serving as a professional first point of contact and trusted gatekeeper who handles inquiries with diplomacy and sound judgment.

  • Plan and execute comprehensive domestic and international travel arrangements, including detailed itineraries, flights, accommodation, and ground logistics.

  • Lead and coordinate special projects, research tasks, and executive initiatives as directed by the CEO, resolving daily operational or logistical roadblocks with a practical, solutions-oriented approach.

  • Maintain the highest level of confidentiality when handling sensitive business, financial, and personnel information.

  • Take daily operational responsibility for the Richmond office to ensure the physical environment remains safe, clean, professional, and fully functional.

  • Support the planning and logistics for onsite events, including room bookings, catering, visitor transfers, and accommodation coordination.

  • Help maintain workplace safety and compliance by conducting weekly safety audits and actively participating in safety committee meetings.

About you

 

  • A proven background providing high-level administrative support to a CEO, Managing Director, or senior leadership team within a corporate setting.

  • Exceptional time-management skills with a demonstrated ability to balance competing demands, coordinate complex schedules, and meet deadlines in a fast-paced environment.

  • Excellent written and verbal communication skills, including the ability to build strong working relationships and interact confidently with stakeholders at all levels, such as senior executives and external vendors.

  • Practical business acumen and project management skills, including the ability to track budgets and leverage the Microsoft 365 suite to support executive reporting and coordinate high-quality PowerPoint presentations.

  • A trusted track record of maintaining strict confidentiality, using sound judgment, and handling sensitive business or personnel matters with absolute professionalism.
