Accountabilities:

    The Operations Administrator supports operational efficiency by managing administrative processes, coordinating service activities, and maintaining accurate business records. The role requires strong attention to detail, proactive communication, and the ability to collaborate with clients, technicians, and internal teams.

    • Provide administrative support to operations teams, including scheduling, coordination, and tracking of service projects.
    • Maintain accurate records of service calls, testing activities, maintenance work, and project documentation.
    • Prepare, update, and organize job files, reports, and client documentation.
    • Manage compliance-related administrative tasks, including certificates of insurance, vehicle and business insurance documentation, and claims support.
    • Assist with business licensing processes across multiple states, including registrations with relevant state agencies.
    • Compile and prepare client reports, including service summaries, testing results, and recommendations.
    • Act as a communication point between clients, field technicians, and management to support successful project execution.
    • Respond to client inquiries, provide project updates, and assist with issue resolution.
    • Enter and maintain project, job, and maintenance data within company databases and software systems.
    • Support invoicing and billing processes by ensuring project costs and records are accurate.
    • Identify opportunities to improve administrative workflows and operational processes.
    • Requirements:

      The ideal candidate is an organized and detail-oriented professional with experience supporting business operations, project coordination, or administrative functions. This role requires strong communication skills, the ability to manage competing priorities, and confidence working independently in a remote environment.

      • High school diploma or equivalent required; an Associate’s or Bachelor’s degree in business administration, operations management, or a related field is preferred.
      • Minimum of 2 years of experience in an administrative or operations support role.
      • Experience within electrical, construction, technical services, or a similar industry is preferred.
      • Experience working with an accredited electrical testing organization is a plus.
      • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
      • Excellent written and verbal communication skills.
      • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
      • Experience with project management platforms, CRM systems, or operational databases is preferred.
      • Strong attention to detail and accuracy in documentation, reporting, and recordkeeping.
      • Ability to work independently while collaborating effectively with a team.
      • Strong problem-solving skills and adaptability in a changing operational environment.
