Position Title: Procurement Manager
Department: Procurement/Purchasing
Location: Gurugram
Work Schedule: 6 days per week | 9:00 AM - 6:00 PM

Position Summary

We are seeking an experienced Procurement Manager to oversee end-to-end procurement operations for Integrated Facility Management (IFM). This role is responsible for vendor management, contract execution, material procurement, inventory oversight, and ensuring compliance with safety and legal standards. The ideal candidate will have extensive experience in real estate facility management procurement and demonstrated ability to manage complex vendor ecosystems.

Key Responsibilities

Vendor & Contract Management

  • Execute service agreements and AMC contracts with vendors, ensuring timely renewals and amendments
  • Source, evaluate, and negotiate with new vendors and contractors for material supply and services across all locations
  • Execute annual rate contracts with vendors for consistent material supply at sites
  • Empanel contractors based on Contractor Safety Management (CSM) standard guidelines
  • Issue central (non-site specific) contracts and work orders to vendors
  • Prepare and execute addendums to manpower service agreements per revised minimum wage requirements
  • Coordinate with legal team for agreement vetting, execution, and ensuring legality of vendor/client agreements

Procurement Operations

  • Clear material purchase requisitions up to Rs. 1 Lakh for all locations
  • Process purchase requisitions (PRs) and purchase orders (POs) efficiently
  • Supervise material supplies, issuance, and distribution across sites
  • Follow up with vendors for timely delivery of materials and services
  • Manage disposal of scrap, used lube oil, old batteries, e-waste, and other waste materials from all buildings

Inventory & Compliance Management

  • Monitor and supervise site stock and conduct site audits related to inventory and processes
  • Maintain site stores as per JLL safety standards
  • Monitor Contractor Safety Management (CSM) standards in the procurement system
  • Maintain safety-related documentation during material purchasing and service procurement
  • Participate actively in British Safety Council renewal processes for central team and individual site stores

Reporting & Coordination

  • Generate MIS and weekly reports to management regarding procurement, inventory status, vendor payments, and operational metrics
  • Upload and follow up on agreements in Contract Management System (CMS)
  • Coordinate between vendors, site officials, accounts department, and JLL team for smooth operations and timely issue resolution
  • Liaise with legal team and vendors throughout the agreement lifecycle

Required Qualifications

Education

  • Bachelor's degree in any discipline (Graduation required)

Experience

  • Minimum 10+ years of progressive experience in procurement
  • Mandatory: Integrated Facility Management (IFM) procurement experience
  • Mandatory: Real estate or property management industry background
  • Proven experience in vendor sourcing and management
  • Experience with AMC execution and renewals
  • Experience managing manpower contracts, repair & maintenance procurement, and consumables
  • Multi-location procurement coordination experience preferred

Technical Skills

  • Strong negotiation and vendor relationship management capabilities
  • Proficiency in contract drafting, execution, and management
  • Experience with MIS generation and procurement analytics
  • Knowledge of inventory management systems and audit processes
  • Familiarity with Contract Management Systems (CMS)
  • Understanding of Contractor Safety Management (CSM) standards
  • Knowledge of safety compliance requirements (British Safety Council standards preferred)

  • Strong analytical and problem-solving abilities
  • Excellent coordination and stakeholder management skills
  • Ability to work with cross-functional teams (legal, accounts, operations, site teams)
  • Detail-oriented with strong organizational skills
  • Ability to handle multiple priorities in a fast-paced environment
  • Proficiency in MS Office (Excel, Word, PowerPoint)
