Key responsibilities for this role include:

The Senior Site Administrative Support provides high-level administrative and operational support to site leadership and cross-functional teams, ensuring the efficient execution of daily business activities and key site initiatives. This role serves as a trusted partner to managers and employees by coordinating administrative processes, managing communications and events, and supporting organizational priorities. Working across multiple departments, the position fosters collaboration, maintains professionalism and confidentiality, and helps ensure a positive, productive, and well-organized work environment. This role supports and reports to key senior leaders at the site, such as Site Leader or Department Directors.

Perform job functions in accordance with all applicable Standard Operating Procedures (SOP), federal and state laws, Occupational Safety and Health Administration (OSHA) guidelines, health authority regulations, and departmental processes. 

Essential Duties and Responsibilities:

  • Provide administrative support to Site Leadership Team (SLT), people managers, and cross-functional teams.

  • Manage complex calendars, schedule meetings, and coordinate leadership, customer, supplier, and site visits.

  • Organize meeting logistics, including conference rooms, audiovisual equipment, catering, travel, and meeting materials.

  • Generate and manage purchase orders (POs) for temporary labor, goods, services, and other operational requirements while ensuring compliance with company policies and budget guidelines.

  • Process and monitor transactions in company systems (e.g., SAP, Ariba, GCE, HR systems), including purchase orders and approvals.

  • Partner with Human Resources, Finance, and Communications to support employee programs, community outreach initiatives, and other site activities.

  • Coordinate and execute employee engagement initiatives, including recognition programs, site-wide events, leadership forums, town halls, wellness activities, and other colleague engagement efforts.

  • Participate on cross-functional committees and project teams, providing administrative coordination and support to ensure successful execution of objectives.

  • Draft, edit, and distribute internal communications, presentations, and other communication materials.

  • Maintain records, databases, distribution lists, and confidential files while ensuring accuracy and data integrity.

  • Prepare reports, presentations, and other administrative documents to support business and leadership needs.

  • Serve as a primary point of contact for internal and external stakeholders, demonstrating professionalism, discretion, and excellent customer service.

  • Handle confidential information with sound judgment and maintain the highest level of integrity and professionalism.

  • Perform other duties as assigned.

Requirements:

Education/Experience:

  • Minimum of bachelor’s degree or associate Degree, 0-2 years of experience. However, a combination of experience and/or education will be taken into consideration.    

Knowledge/Skills:

  • Must possess Excellent written and verbal communication skills.

  • Communicates effectively both verbally and in writing with superiors, peers, and colleagues inside and outside the company.

  • Fully Bilingual English/Spanish – Written and Verbal.

  • Must possess excellent computer proficiency in systems such as Microsoft Windows, Kronos, SAP, Smart Source, Cora Documentum(D2), and others.
