An Overview of the role:
As a Facilities Coordinator at JLL, you'll play a vital role in coordinating facilities management across a diverse portfolio of owned properties and leased premises. Working closely with our Client, State Leads, and Facilities Managers, you'll ensure seamless day-to-day operations while helping to resolve site challenges quickly and efficiently. This role centers on administration, stakeholder coordination, and maintaining strong vendor relationships to deliver exceptional service outcomes. At JLL, we believe the most effective teams are built when everyone is empowered to thrive, and this position offers you the opportunity to develop your facilities management expertise while supporting critical operational functions. You'll be the go-to point of contact for facilities management matters, ensuring compliance with safety protocols, managing work order systems, and maintaining accurate property databases. We embrace more innovative ways of working, and this role will expose you to various property management systems and collaborative problem-solving approaches that will strengthen your career in facilities management.
What your day-to-day will look like:
Coordinate facilities management activities as delegated by the Facilities Manager and state leads, ensuring smooth operations across the portfolio
Resolve site difficulties promptly with minimum disruption, reducing risk and maintaining business-as-usual operations
Work in conjunction with the helpdesk and service providers to manage escalations related to contractor performance and client complaints, ensuring timely completion of works
Administer Corrigo work order system, maintaining accurate records and tracking completion of maintenance tasks
Deliver excellent customer service to meet stakeholder expectations and build effective working relationships with clients and vendors
Serve as the point of contact for facilities management matters within designated entities and assist in client and vendor meetings
Follow established escalation procedures and incident reporting protocols to ensure everyone stays safe
Complete, update, and maintain web-based management information systems, including uploading property documentation to keep databases current and accurate

Required qualifications:
Demonstrated administration and communication skills with a strong customer service focus
Proactive approach with keen attention to detail and ability to balance multiple priorities simultaneously
Ability to handle a variety of issues concurrently within tight operational deadlines
Highly organized with strong verbal and written communication skills
Proficiency with Microsoft Word, PowerPoint, Excel, Outlook, and internet research
Efficient keyboard and data entry skills to maintain accurate records and documentation
Ability to work with minimal supervision and quickly grasp new concepts
Australian Citizenship
Preferred qualifications:
Experience in facilities management, property management, or a related field
Knowledge or exposure to building services maintenance and facilities management operations
Self-motivated and confident with ability to adapt to rapidly changing situations
Collaborative team player who cooperates effectively with others to meet targets
Demonstrates honesty, trustworthiness, and commitment to ethical business practices
Open to new ideas and willing to challenge the status quo to drive continuous improvement
