About the Role:

We are looking for a highly organized and data-driven Facilities Officer to support day-to-day facility management activities. You will serve as the right-hand person to the Facilities Manager—handling administrative tasks, maintaining space and asset data, generating Power BI reports for operational decisions. This role requires a blend of analytical thinking, operational rigor, and organizational excellence.

Key Responsibilities:

  • Space Strategy
  • Develop and maintain accurate portfolio client’s report for all position facilities (seated, standing, and shared zones such as manage Tririga system: online, cubicle & keys, control and manage provide services alignment requirement from clients in the system on time
  • Manage furniture & MAC (Move-Add-Change) when raising requirement daily and Utilization controlling audit and consolidation report all Service Utilization: (i) Self manage Utilization Cafe Seating, Office Workstation, Conference Room (ii) Support manage Utilization Convention Hall (Event), Parking lot & Restroom (Intel SO)

 

  • Reporting & Analytics
  • Build and maintain interactive Power BI dashboards tracking key metrics: utilization rate (%), vacancy cost, density per sq. ft., and adjacency ratios. Analyze space occupancy data from badge/swipe systems to identify under-utilized or over-crowded zones.
  • Present quarterly "Space Efficiency Reports" to Facilities leadership, highlighting optimization opportunities. Build, refresh, and maintain report dashboards for key facility metrics:
  • Present monthly performance reports to the Facilities Manager with clear insights and actionable recommendations.
  • Administrative & Operational Support
  • Organize and maintain shared drives, calendars, and meeting schedules. Coordinate across cross- functional teams, tracking and follow-up on key projects, action and compliance items. Managing communication and administrative processes efficiently, Providing structured support for meetings, dashboards, and executive updates
  • Supporting documentation, reporting and audit readiness (eg., ISO, site governance, I care safety, Line walk QA…)
  • Assist the Facilities Manager in budget tracking, purchase order creation, and invoice reconciliation.

Required Qualifications:

Education & Experience

  • Bachelor’s degree in administration, Facilities Management,  Data Analytics, or related field.
  • 2+ years of experience in corporate space planning, facilities management, or real estate analytics.

Technical Skills (Mandatory)

  • Power BI: Advanced ability to connect to SQL/Excel data, write DAX measures (e.g., utilization %), and publish to workspaces.
  • Analytics: Strong Excel skills (PivotTables, Power Query) for cleansing occupancy logs.

Soft Skills

  • Ability to translate raw data (badge swipes) into actionable floor plan changes.
  • Experience managing moves, adds, and changes (MAC) in a high-security or cleanroom environment (preferred).
