What will you do

Under general direction, provides administrative and coordination support for security projects while developing project management skills. Assists project leaders in planning, organizing, and completing assigned projects. Supports execution of project tasks such as documentation, scheduling, procurement coordination, installation tracking, commissioning support, and project closeout activities.

Helps maintain project organization, communication, and documentation while learning to balance customer satisfaction with project timelines and financial goals. Assists with tracking project costs, billings, and collections. Supports communication with customers and internal teams throughout all phases of the project.

Coordinates with subcontractors, technicians, designers, and internal stakeholders to ensure tasks are completed accurately and on schedule. Ensures documentation and administration processes meet company standards, compliance requirements, and safety guidelines.

How will you do it

  • Provides administrative support for project planning, including scheduling meetings, maintaining project documentation, and tracking deliverables.
  • Assists with project documentation including scope details, change orders, and progress updates.
  • Tracks project timelines, milestones, and deliverables, escalating risks or delays to project leadership as needed.
  • Supports procurement processes by helping coordinate material orders, deliveries, and vendor communications.
  • Assists in gathering pricing, quotes, and vendor information for project needs.
  • Maintains organized records of contracts, invoices, and project documentation.
  • Supports project billing and financial tracking by preparing documentation and assisting with invoice submission and follow-ups.
  • Coordinates communication between internal teams, subcontractors, and customers.
  • Attends project meetings and documents notes, action items, and next steps.
  • Assists with jobsite coordination logistics, including scheduling and tracking installation activities.
  • Supports commissioning and closeout activities by ensuring documentation is complete and organized.
  • Helps ensure compliance with safety standards and company policies across project activities.
  • Learns and applies basic project management principles, tools, and best practices over time.
  • Provides general administrative support to the project team as needed.

What we look for Required

  • 1–3 years of administrative, coordination, or office support experience (project-based environments a plus)
  • Strong organizational and time management skills with attention to detail
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • High level of customer service and professionalism
  • Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
  • Ability to work independently while supporting a team
  • Willingness to learn project management concepts and tools
  • High school diploma or equivalent
  • Ability to successfully pass and maintain U.S. Marshals Service (USMS) security clearance requirements as a condition of working on applicable projects

  • Experience supporting projects, construction, or technical teams
  • Exposure to project management tools or methodologies (e.g., scheduling tools, task tracking systems)
  • Basic understanding of budgeting, invoicing, or financial tracking
  • Interest in pursuing project management training or certification (e.g., CAPM, PMP pathway)
  • Familiarity with security systems, construction, or technical environments (not required)

HIRING HOURLY RANGE: $28-$38 (Hourly rate to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
