Job Summary

Morley Moss, Inc. is hiring a Project Administrator for the Tulsa, OK offices. 

 

The Project Administrator is responsible for ensuring the smooth, efficient, and professional operation of the office environment while also providing key administrative and organizational support to project teams to ensure projects are delivered on time and within scope. This role is the central hub for jobsite office logistics and project administration.

Department: New Construction & Service

Essential Duties & Responsibilities

  • Reports to the Division Manager
  • Assists with monitoring and reviewing time sheets and daily reports as needed
  • Assist with Rental Tracking
  • Assist with Meeting Preparations
  • Maintain a Purchase Order tracking log for projects
  • Assist with creating and submitting a schedule of values, invoices and backup requirements for payment
  • Work with vendors, distributors, subcontractors and other suppliers for lien releases, COIs, and other contractual obligations
  • Maintain awareness of past due AR and assist with follow up communication on payments with a goal of reducing DSO
  • Assist the project teams with timely billing per contracts and at the time of project completion
  • Resolve issues with invoices that may be holding up payment from clients
  • Maintain meeting minutes from project meetings, financial meetings,
  • Attend Vista & Coins ERP training to become a trainer in the Tulsa branch
  • Coordinate all office maintenance and repair needs with vendors or building services.
  • Coordinate Office material orders
  • Coordinate custodial material orders
  • Manage inventory of office supplies, equipment, and kitchen/breakroom stock, ensuring timely replenishment.
  • Greet and direct GC and Visitors to the office or conference rooms scheduled.
  • Schedule and organize project-related meetings, including sending out invitations, preparing agendas, and reserving facilities
  • Maintain Tracking boards for Rental Equipment
  • Set positive examples for employees
  • Be accountable
  • Organize and maintain project documents in MS Teams
  • Serve as a communication liaison between project team members.
  • Other duties as assigned

The employee requires mobility within the office from one work location to another occasionally. The employee may occasionally lift and/or move up to twenty-five (25) pounds.
