Title: Independent Contractor – CPT-11092 Bookkeeping & Administrative Support Virtual Assistant/Business Support VA/Junior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking reliable and detail-oriented Virtual Assistants with experience in bookkeeping and administrative support to assist multiple clients across different industries.

Selected independent contractors may be matched with one or more clients depending on skillset and availability. The role involves a combination of financial recordkeeping, accounting support, and general administrative assistance.

All work will be performed remotely and must follow client-specific SOPs, workflows, and service expectations. Contractors are expected to maintain accuracy, confidentiality, and consistency in all assigned tasks.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

    Bookkeeping Tasks (Financial/Accounting Side)

  • Record daily financial transactions, including sales, purchases, receipts, and payments.
  • Facilitate all bookkeeping and accounting functions within QuickBooks, ensuring financial records remain accurate and up to date.

  • Manage Accounts Payable (A/P), including processing vendor bills, supplier payments, and employee expense reimbursements.

  • Manage Accounts Receivable (A/R), including issuing invoices, tracking payments, and following up on overdue accounts.

  • Perform monthly bank and credit card reconciliations.

  • Track business expenses and ensure accurate categorization.

  • Maintain the general ledger accurately and consistently.

  • Track Virtual Assistant (VA) work hours and timesheets within QuickBooks to support payroll processing.

  • Assist with payroll preparation and related bookkeeping activities.

  • Manage and maintain the client's QuickBooks Tax Portal, ensuring documentation is organized and readily available for tax preparation.

  • Generate standard financial reports, including Profit & Loss, Balance Sheet, and Cash Flow statements for management review.

  • Support accountants during audits, tax preparation, and financial reporting activities.

  • Administrative Support Tasks

  • Serve as the primary coordinator for administrative operations, ensuring administrative processes are executed efficiently and consistently.
  • Monitor compliance with company policies, administrative procedures, and operational workflows, ensuring timely execution of assigned tasks.
  • Manage executive emails, correspondence, calendars, and scheduling.
  • File, organize, and maintain company records and documentation.
  • Assist with HR-related administrative support, including employee onboarding, timesheet tracking, and leave management.
  • Coordinate with vendors, suppliers, service providers, and external stakeholders.
  • Handle outbound calls to clients and other stakeholders using company-provided contact lists and processes.
  • Review newsletters and other company communications for accuracy, formatting, and distribution readiness.
  • Prepare presentations, reports, memos, and other business documents.
  • Schedule meetings, appointments, and manage comprehensive executive travel arrangements, including itineraries, accommodations, and logistics.
  • Provide general executive and departmental administrative support.


Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Proven experience as a Bookkeeper, Admin Assistant, or Virtual Assistant (at least 2+ years).
  • Proficiency in bookkeeping software (QuickBooks, Xero, or similar).
  • Strong understanding of accounting principles and financial reporting.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite (Excel, Word, PowerPoint) and Google Workspace.
  • Ability to work independently with minimal supervision.
  • High attention to detail and accuracy.


Work Schedule

  • Contracted Hours per Week: 10 Hours
  • Scheduled Working Days: Monday through Friday 
  • Daily Working Time: TBD

Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

Terms of Engagement

  • Contractors will operate under a Master Services Agreement and a Statement of Work
  • This is not an offer of employment; contractors are not employees of 20four7VA or any client
  • All compensation is processed through 20four7VA according to the terms of the engagement
