Job Summary:
The role involves managing on-site operations and facilities to ensure consistent service standards. Key duties include daily facility inspections, supervising cleaning, overseeing equipment care, and coordinating with vendors and technical services. Additionally, the position includes managing financial tasks such as processing reimbursements, maintaining records, and assisting with budget planning. The candidate will ensure adherence to financial processes and maintain data integrity.
Key Responsibilities:
1. On-site Operations & Facilities Management
•Conduct daily facility inspections to identify maintenance needs and ensure service standards are met.
•Supervise and coordinate all cleaning operations, including daytime and night shift janitorial staff, deep cleaning, carpet shampooing, and consumables inventory management.
•Oversee equipment care programs, coordinate preventive maintenance, and report issues promptly.
•Issue work orders, track vendor performance, and ensure contractual obligations are met.
•Coordinate with vendors to perform a wide range of facilities-related services.
•Liaise with Technical and Engineering services as required.
2. Financial Operations
•Manage daily financial operations and invoice transactions for clients and JLL. Input payment information into systems with accuracy.
•Maintain records for office supplies and services, order expenses and assist in invoice processing.
•Liaise with regional teams on financial issues and ensure compliance with financial processes and controls.
•Assist the Workplace Location Lead with budget planning and management.
•Ensure data integrity across all financial systems and conduct periodic audits.
3. Postal Services
•Handle mail delivery, collection, sorting, and distribution.
•Maintain logs for delivery rates, process change-of-address forms, and handle postage payments.
Suggested Qualifications:
•Experience in an administrative, office coordination, or event planning role.
•Working knowledge of finance/procurement and facilities workflows (e.g., invoice processing, vendor coordination, work orders).
•Proficient with standard office software.
•Good command of English and Chinese.
