Senior Administrative Assistant

We are seeking a proactive and highly organized Senior Administrative Assistant to support the Site & Construction Manager at our high-performance computing (HPC) data center campus. This role is ideal for a self-starter who thrives in a fast-paced, technical environment and takes pride in anticipating needs before they arise. The successful candidate will be detail-oriented, resourceful, and capable of managing a wide range of administrative and operational tasks with discretion and efficiency. While prior experience as an administrative assistant is preferred, we value initiative, adaptability, and a strong sense of ownership in supporting mission-critical operations.

Requirements
- Proven experience as an administrative assistant or in a similar support role (preferred).
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- High level of discretion and professionalism when handling sensitive information.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint).
- Ability to work independently, prioritize tasks, and adapt to changing priorities.
- Familiarity with technical or data center environments is a plus.
- Self-motivated with a proactive mindset.
- Comfortable working in a high-security, high-performance environment.
- Strong attention to detail and follow-through.
- Collaborative and service-oriented attitude.
Other important requirements:
- Pre-employment screening, including background check and substance testing may be required according to company policies.
- Must provide own steel-toed work boots; other PPE will be supplied.
- Must be able to reliably commute to the work site as needed or have plans to relocate before starting work.
Responsibilities
- Provide high-level administrative support to the Senior Operations Manager and other facility leaders.
- Manage calendars, schedule meetings, coordinate travel arrangements, and prepare meeting agendas and materials.
- Track and follow up on action items, deadlines, and project milestones.
- Assist with internal communications, documentation, and reporting.
- Maintain organized digital and physical filing systems, including confidential records.
- Support onboarding and coordination for new hires, vendors, and contractors.
- Order and manage office supplies, equipment, and facility logistics.
- Coordinate with IT, security, and facilities teams to ensure smooth day-to-day operations.
- Prepare and proofread correspondence, reports, and presentations.
- Assist with planning and execution of on-site events, audits, and executive visits.

- Actual hourly rate will be determined based on factors such as experience, qualifications.
