Accountabilities:

    • Manage complex executive calendars, prioritize competing demands, and resolve scheduling conflicts while aligning with leadership priorities across multiple teams.
    • Coordinate end-to-end travel arrangements, including flights, accommodations, and itineraries, ensuring accuracy and responsiveness to changing plans.
    • Anticipate scheduling and logistical needs proactively, making adjustments based on evolving business priorities.
    • Organize and support internal and external events such as town halls, leadership meetings, and team offsites, ensuring smooth execution.
    • Partner with vendors and internal stakeholders to coordinate logistics, materials, and communications for meetings and events.
    • Prepare, submit, and manage expense reports with accuracy and timeliness for leadership review.
    • Identify opportunities to improve administrative processes and contribute best practices to enhance team efficiency.
    • Collaborate closely with senior executive assistants and administrative peers to ensure consistent and high-quality support across leadership teams.
    • Provide backup administrative support when needed to ensure continuity of operations.
    • Requirements

      • 3+ years of experience in administrative support roles assisting business or executive leaders.
      • Strong expertise in calendar management, including scheduling complex, multi-time-zone meetings.
      • Excellent organizational skills with the ability to manage multiple priorities and maintain strong attention to detail.
      • Proven ability to anticipate needs and resolve scheduling, travel, or logistical challenges with minimal supervision.
      • Strong written and verbal communication skills with the ability to tailor messaging to different audiences.
      • High level of professionalism, discretion, and ability to handle confidential information.
      • Proficiency in Microsoft Office tools (Excel, Word, PowerPoint, Outlook) and experience with collaboration tools such as Zoom and Slack.
      • Strong problem-solving skills and ability to work effectively in a fast-paced, evolving environment.
      • Experience with AI tools or automation solutions is a plus.
