Accountabilities:
- Develop and implement document control strategies, policies, procedures, and work instructions to support effective records management.
- Manage the full lifecycle of controlled documents, including creation, review, approval, revision, distribution, storage, and retention.
- Design and maintain document management systems, ensuring proper version control, accessibility, and information security.
- Review business processes and stakeholder requirements to develop effective records and data storage solutions.
- Establish and maintain document architecture, including permissions, access controls, and organizational structures.
- Monitor compliance with document control standards and ensure document integrity across the organization.
- Review, edit, and update documentation to ensure accuracy, consistency, formatting, and regulatory alignment.
- Partner with quality teams and cross-functional stakeholders to improve documentation practices and operational processes.
- Support audits by ensuring records are properly maintained, traceable, and available when required.
- Train employees on document management procedures, maintain training records, and provide ongoing guidance.
- Identify opportunities to improve document workflows, systems, and processes through continuous improvement initiatives.
- Bachelor’s degree or equivalent relevant professional experience.
- Experience managing digital document control or records management systems.
- Knowledge of document control best practices, lifecycle management, and information governance principles.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Exceptional attention to detail and commitment to accuracy.
- Excellent written and verbal communication skills.
- Ability to create clear procedures, instructions, and documentation standards.
- Experience collaborating with cross-functional teams and supporting business process improvements.
- Ability to work independently, take ownership, and proactively identify solutions.
- Comfortable working in a fast-paced, evolving environment with changing priorities.
- Experience in regulated industries or quality-focused environments is preferred.
- Familiarity with quality assurance processes, including NQA-1 standards, is a plus.
- Competitive salary range of approximately $90,000–$150,000, based on experience and qualifications.
