As a Facilities Officer / Facilities Coordinator, you will be responsible for helping ensure our buildings, workspaces, and essential services are operating effectively and efficiently. You will work closely with internal teams and external service providers to maintain office standards, support workplace improvements, and ensure compliance with health, safety, and environmental requirements.What You’ll Be Doing
Overseeing facility maintenance and repairs
Coordinate and monitor the maintenance and repair of office buildings, work areas, and equipment.
Ensure issues are identified and resolved quickly to minimize disruption.
Arrange preventive maintenance to keep facilities in good working order.
Managing workplace services
Coordinate cleaning, security, waste management, and other essential facility services.
Monitor service delivery to ensure quality and consistency.
Support the smooth day-to-day operation of the office environment.
Supporting office setup and space planning
Manage office space allocation and workplace setup requirements.
Assist with seating arrangements, workstation readiness, and general office moves.
Support office relocations, refurbishments, and improvement projects.
Supervising contractors and suppliers
Liaise with contractors, vendors, and service providers.
Monitor work carried out to ensure it meets agreed quality and safety standards.
Assist with the procurement of facility supplies, furniture, and maintenance materials.
Ensuring compliance and safety
Help ensure compliance with health, safety, fire, and environmental regulations.
Conduct regular inspections to identify hazards and recommend corrective actions.
Support emergency response and resolve urgent maintenance issues promptly.
Monitoring utilities and reporting
Ensure key utilities such as electricity, water, air conditioning, and generators are functioning properly.
Maintain records of maintenance activities, inspections, and assets.
Prepare reports on facility performance and recommend improvements where needed.
General support
Carry out other duties as assigned by management in support of facilities operations.
Skills Required
Previous experience in facilities management, office administration, property maintenance, or workplace operations is preferred.
Experience coordinating multiple facility services in a busy business environment is an advantage.
Good understanding of workplace health and safety, fire safety, and environmental compliance standards.
Ability to identify risks and support corrective action planning.
Able to manage multiple tasks, priorities, and service requests effectively.
Strong attention to detail in record-keeping, inspections, and follow-through.
Good verbal and written communication skills.
Comfortable working with internal stakeholders, external contractors, and service providers.
Able to build effective working relationships across teams.
Quick to respond to maintenance issues and workplace emergencies.
Able to assess situations, coordinate solutions, and escalate when required.
Comfortable maintaining logs, reports, and asset records.
Proficient in Microsoft Office or similar business tools for reporting and communication.
Basic understanding of building systems and utilities such as HVAC, electricity, water systems, and backup generators is desirable.
