Working with the Events and Professional Affairs teams the role is an integral part of the event planning process, the main purpose of the role is to lead and support by managing all invoices for all events and faculty costs.

What you will do

  • Lead and develop a geographically dispersed invoicing team across EMEA and LATAM, including onboarding, training, and recruitment activities to ensure consistent performance.

  • Oversee end-to-end invoice processing for events and faculty costs, ensuring compliance with agreed service level agreements and standard procedures.

  • Monitor workload distribution and capacity planning, adjusting resources to maintain timely processing and balanced team performance.

  • Drive continuous improvement initiatives across invoicing processes, increasing efficiency, accuracy, and cycle times.

  • Manage purchase order creation, high-risk payment workflows, and master data submissions in alignment with internal controls and compliance requirements.

  • Partner with Finance teams (Accounts Payable, Payroll, Cash Management) to ensure seamless financial operations and timely payment execution.

  • Maintain structured documentation and filing systems for all event-related invoices, ensuring audit readiness and data integrity.

  • Collaborate with Events and Marketing stakeholders, leading regular operational meetings and providing KPI insights to support decision-making.

What you will need

Required:

  • College-level qualification or equivalent

  • Minimum 6 years of experience in end-to-end finance processes and ERP tools (e.g., Coupa, JDE, Oracle, SAP)

  • Experience managing a team

  • Experience supporting internal or external stakeholders in a service-based environment

  • Fluent in English

  • Proficiency in Microsoft Excel

Preferred:

  • Bachelor’s degree

  • Experience in medical device or pharmaceutical industry environments

  • Knowledge of compliance regulations within healthcare or events sectors

  • Familiarity with ERP systems such as Oracle or SAP

  • Spanish language

Salary information will be provided during the recruitment process.

Travel Percentage: 10%
