We are seeking administrative support to work at our India Engineering Center campus in Bengaluru, India. Over a period of time the successful candidate is also expected to provide support related to management of test coupons and maintenance of certain testing equipment. The successful candidate will join the India Engineering Center as an Administration and Lab Operations support personnel.
Job Description:
- Performs a combination of administrative tasks in various functional areas.
- Represents organizational unit on administrative matters. May prepare budgeting, project scheduling, and statistical reports as required. May perform data entry and other normal office functions such as setting up and maintaining files, interviewing callers and making proper referrals, arranging meetings and conferences and receiving, referring or answering mail.
- Reviews drafts and finished documents and answers questions relating to office operations and established policies and procedures.
- Gathers, compiles and reports on information relevant to supervisor’s assignment. May provide executive assistant services as a direct assistant to senior leaders. This includes working independently on special assignments, managing the Executive’s schedule, processing and handling of confidential documents and other administrative duties. May research and determine types of technical literature searches and sources of information required to satisfy the scientific information needs of researchers and staff within PWIEC.
- Manages food services and travel operations for the corporation. Manages food inventory, stocking and preservation. Operates and maintains in-house kitchens, cafeterias, counters and restaurants. Organizes and delivers food for corporate meetings. Organizes vehicles to transport employees to conferences, events or other office locations.
Additional Responsibilities
- Specimen Receipt and Identification
- Receive the specimens from PWA
- Verify the quantity and condition of the specimens.
- Create a unique specimen ID and batch number if not already provided.
- Visual and Physical Inspection
- Perform visual and physical inspection of all specimens before testing.
- Check for scratches, dents, deformation, surface damage, corrosion, or any abnormality.
- Record all observations.
- Transportation / delivery / collection of the test specimens to identified labs
- Any Post-Test Activities
Over a period of time, the selected candidate would be trained on basic maintenance of machines used for mechanical testing and related equipment. The candidate would be expected to take accountability for checking and maintaining these equipment.
Required Skills:
- Excellent interpersonal and communication skills, both oral and written
- Must be able to function well in a team environment
- Must be highly organized and able to multitask
- Must have good problem solving skills
- Must have attention to detail
Basic Qualifications:
- Diploma in Engineering, Science or Technology
- At least 10 years experience in an administrative role
- Proficient in MS Office (Word, Excel, PowerPoint, SharePoint, etc.)
Preferred Qualifications:
- Knowledge and understanding of SAP and RTX purchasing process
- Experience with outsourcing, logistics or supply chain
- Any know-how of mechanical testing machines and/or maintenance / calibration of such machines will be considered a differentiator
