Accountabilities
- Lead the design, documentation, governance, and continuous improvement of end-to-end clinical site payment processes to ensure efficiency, compliance, scalability, and audit readiness.
- Develop and manage training programs, onboarding materials, knowledge repositories, and standardized operating procedures for internal teams and key stakeholders.
- Configure and maintain clinical site payment platforms, ensuring accurate implementation of contracts, budgets, amendments, payment schedules, and site-level configurations.
- Establish governance standards, validation controls, reconciliation processes, and quality checks to maintain data integrity across payment systems and vendor platforms.
- Produce executive-ready dashboards, KPIs, metrics, and operational reports that support leadership decision-making, vendor oversight, and continuous process improvement.
- Collaborate with cross-functional teams including Clinical Operations, Finance, Treasury, Procurement, Compliance, Quality, Internal Audit, and external vendors to align payment processes and resolve operational issues.
- Monitor vendor performance, validate reporting accuracy, identify process risks, drive corrective actions, and support governance meetings with data-driven recommendations.
- Oversee reconciliation activities related to contracts, budgets, payment execution, and study startup/closeout while maintaining documentation that supports regulatory and audit requirements.
- Bachelor's degree or equivalent professional experience in clinical operations, finance, business, life sciences, or a related discipline.
- Significant experience managing clinical site payment operations, clinical trial financial processes, or related clinical operations within the pharmaceutical, biotechnology, or CRO industry.
- Strong knowledge of clinical trial payment workflows, contract amendments, budget management, reconciliation processes, and vendor oversight.
- Experience working with clinical payment platforms, CTMS, and enterprise systems such as SAP, Oracle, Ariba, Agiloft, or similar technologies.
- Advanced proficiency with Microsoft Excel, Power BI, SharePoint, Smartsheet, and other reporting and collaboration tools.
- Demonstrated ability to build process documentation, training materials, governance frameworks, dashboards, and executive-level reporting.
- Excellent analytical, organizational, communication, and stakeholder management skills with the ability to coordinate multiple cross-functional initiatives simultaneously.
- Proven ability to identify operational risks, improve business processes, and deliver scalable solutions within highly regulated environments.
- Annual base salary ranging from $136,400 to $181,400, based on experience, qualifications, and location.
