Warranty Operation Specialist

The Warranty Operations & Program Coordinator acts as the central hub for European Warranty Operations (EWO). The general task of this job is to ensure operational, financial, and compliance integrity across Ford’s European warranty programs. This role is a hybrid of Communication, Financial Administration, System Administration & Compliance.

Financial & Supplier Governance:

  • Manage the end-to-end financial lifecycle for specialized vehicle warranties (specifically the F-150 ICE in Europe). You act as the financial gatekeeper. This involves raising Purchase Orders, reviewing and disputing supplier invoices monthly with external partners, and processing transactions in Ariba to ensure Ford only pays for valid, approved warranty repairs.

Communication:

  • Ensure customer-facing teams and European markets have accurate, up-to-date warranty information. You are the bridge between technical warranty manuals and customer service. 

System Administration & Compliance Auditing

  • Control who has access to Ford’s internal warranty and document systems (TrackLite & SharePoint). You maintain system security and audit readiness. This includes processing daily access requests, reviewing and approving/rejecting plant debits and credits, and running a massive multi-month access cleanup/audit every year to ensure compliance.

Cross-Functional Alignment & Reporting

  • Facilitate collaboration between departments and provide data-driven insights to leadership. You bring people together. You plan and run quarterly Warranty Working Group (WWG) meetings, aligning presentation topics from various teams. Additionally, you compile performance reports for Global Warranty Operations (GWO) and senior management to help guide strategic decisions.

  • Education: University / College degree in Technology/Business Administration/Operation Management or a related field

  • Experience: Minimum 2-3 years of working experience in project management analysis or controlling role, technical knowledge is an advantage, preferably within a multinational environment

  • Language: Excellent written and spoken English is essential. Proficiency in other EU languages is a plus.

  • Technical Skills:

    Deep knowledge in Microsoft 365 is a must. Familiarity with automotive environment and reporting systems is an advantage.

  • Core Competencies & Soft Skills summary:

    The candidate must have confidence and presentation skills to present at all levels, along with strong organizational skills to balance the demands of rapid assignments with strategic planning. It is essential that the candidate is customer and dealer obsessive, and they must also possess negotiation skills, being able to get the best from a diverse team of people with different perspectives. In addition, the candidate must have technical knowledge, including an appreciation of technical information related to our products. Finally, it is desirable if the candidate has the ability to facilitate conflict resolution.
