OVERVIEW OF ROLE

The Food & Beverage Coordinator provides administrative, operational and project coordination support to the Director of Food & Beverage and the wider Food & Beverage leadership team. This role ensures the smooth coordination of departmental administration, training, compliance, projects and communication while supporting the daily operations across all Food & Beverage outlets.

Working closely with operational leaders and support departments, the Food & Beverage Coordinator plays a key role in maintaining departmental organisation, driving operational excellence and supporting initiatives that enhance both guest and team member experiences.

MAIN DUTIES & RESPONSIBILITIES

The main responsibilities of the Food & Beverage Coordinator are summarised below; however, the list is not exhaustive.

ADMINISTRATION & COORDINATION

• Provide comprehensive administrative support to the Director of Food & Beverage.

• Manage departmental correspondence, emails, meeting schedules and calendar appointments.

• Prepare reports, presentations, letters, memos and departmental documentation.

• Coordinate departmental meetings, prepare agendas and record accurate meeting minutes.

• Maintain organised filing systems, operational records and confidential documents.

• Track departmental action plans and ensure timely follow-up on outstanding items.

• Support daily administrative requirements across all Food & Beverage outlets.

OPERATIONAL SUPPORT

• Coordinate operational requests and communicate effectively between Food & Beverage departments and support functions.

• Assist outlet managers with administrative requirements relating to daily operations.

• Support restaurant reservations and maintain reservation platforms where required.

• Coordinate menu updates, promotional materials and operational communications.

• Assist with the implementation of hotel-wide operational initiatives and special projects.

• Support Food & Beverage operations during peak periods and special events when required.

LEARNING, DEVELOPMENT & COMPLIANCE

• Coordinate departmental training schedules and maintain training records.

• Monitor completion of mandatory learning programmes, compliance training and brand standards.

• Support the administration of performance reviews, development plans and annual learning initiatives.

• Maintain accurate departmental records relating to certifications, licences and compliance requirements.

• Assist in coordinating onboarding activities for new Food & Beverage team members.

PROJECTS & CONTINUOUS IMPROVEMENT

• Support the Director of Food & Beverage in implementing operational improvements, new initiatives and departmental projects.

• Monitor project timelines and coordinate follow-up with relevant departments.

• Assist in preparing documentation and communications for hotel campaigns and Food & Beverage initiatives.

• Track project progress and provide regular updates to the Director of Food & Beverage.

• Contribute ideas to improve departmental processes, efficiency and guest experiences.

HEALTH, SAFETY & QUALITY

• Support departmental compliance with food safety, workplace safety and hygiene standards.

• Assist in coordinating health and safety audits, inspections and follow-up actions.

• Maintain records relating to safety, compliance and operational procedures.

• Promote responsible service practices and ensure compliance with company policies.

• Report maintenance, safety or operational concerns promptly.

COMMUNICATION & COLLABORATION

• Build positive working relationships with all Food & Beverage outlets and support departments.

• Act as a liaison between operational teams and the Director of Food & Beverage.

• Coordinate communication between Culinary, Stewarding, Finance, Marketing, Human Resources and Engineering where required.

• Maintain professional and effective communication with internal and external stakeholders.

• Support cross-functional collaboration to ensure smooth hotel operations.

QUALIFICATIONS

• Diploma or Degree in Hospitality Management, Business Administration or a related discipline preferred.

• Minimum 2 years of experience in hospitality administration, Food & Beverage operations or a similar coordination role.

• Previous luxury hotel experience is preferred.

• Strong administrative, organisational and project coordination skills.

• Proficiency in Microsoft Office applications, particularly Excel, Word and PowerPoint.

• Experience with restaurant reservation systems, POS systems or hospitality management software is advantageous.

• Excellent written and verbal communication skills.

• Strong attention to detail with the ability to manage multiple priorities.

• Self-motivated, proactive and able to work independently as well as collaboratively.

• Knowledge of food safety, workplace health and safety practices is advantageous.
