Administrative Specialist II: DOE Office of Nuclear Physics - Facilities and Project Management Division

POSITION SUMMARY
The contractor shall provide administrative services support associated with the U.S. Department of Energy, Office of Science, Office of Nuclear Physics, Facilities and Project Management Division.
ESSENTIAL JOB FUNCTIONS
The contractor shall provide a broad range of administrative support services for the Office of Nuclear Physics. The work scope includes, but is not limited to, the following administrative support activities:
- Implementation of administrative policies.
- Management of the Division Director's calendar and provides support to other division staff calendars.
- Responsible for Division staff travel arrangements, authorizations, and vouchers.
- Responsible for setting up meetings, reviews, teleconference calls, and video conferences for staff.
- Management of Division procurement actions.
- Drafting and routing correspondence and responses to actions related to procurement actions, as needed.
- General Administrative support, including answering telephones, routing as necessary or taking telephone messages, picking up mail, conference room keys, Federal Express, and courier packages.
- Providing support for on-site meetings, including logistics, equipment, and visitors, as needed.
- Assisting in general support duties normally assigned to other staff in case of absence or other changes in office workload, including, but not limited to, phone conference setup and travel, including arrangements, authorizations, and vouchers, as requested by supervisor.
- Requires knowledge and use of Microsoft Office Suite and other Office of Science and DOE administrative systems, including CONCUR.

EDUCATION/TRAINING
- High school diploma or GED is required.
- An associate's degree is preferred.
EXPERIENCE
- 2-3 years of relevant Administrative Support. Experience in supporting a team of Executive Leadership is preferred.
- Polished verbal and written communication skills
- Ability to use computer systems, Microsoft Office software (Word, PowerPoint, Excel, Outlook)
- Ability to prioritize, multitask, and meet deadlines
- Knowledge of record management best practices and procedures
- Strong written and verbal communication skills with the capability of facilitating, briefing, speaking, and writing compelling papers/products. Exceptional organizational skills, ability to manage multiple concurrent tasks.
- Ability to work cooperatively, collaboratively, and respectfully with people inside and outside the organization to achieve mission goals.
