SUMMARY

The Administrative Assistant supports the VP and General Manager of Defense by managing scheduling, communications, travel arrangements, and operational coordination to enable effective strategic and operational leadership. This role provides administrative support to designated department leaders as needed, assisting with the coordination of meetings, calendars, communications, travel, and other operational activities. The Administrative Assistant demonstrates a proactive, self-starter attitude, strong organizational and time-management skills, and the ability to prioritize multiple responsibilities while maintaining professionalism, confidentiality, and exceptional customer service. They play a key role in supporting efficient office operations and fostering collaboration across departments and sites to ensure organizational goals are achieved.

WHAT YOU WILL DO

  • Provide comprehensive administrative support to the VP General Manager and designated department leaders to ensure efficient daily operations
  • Manage calendars, coordinate meetings, events, special projects, and administrative activities to support departmental priorities and organizational objectives
  • Prepare, organize, and distribute correspondence, reports, presentations, meeting materials, and other business documents.
  • Coordinate domestic and international travel arrangements, itineraries, accommodations, and related logisticsServe as a liaison with internal and external stakeholders, facilitating effective communication and coordination across departments
  • Maintain organized records, files, and documentations
  • Exercise sound judgment in handling confidential and sensitive information with discretion and professionalism
  • Anticipate administrative needs, prioritize competing demands, and recommend process improvements to enhance operational efficiency
  • Provide general office and administrative support and perform other related duties and special projects as assigned


WHAT WE ARE LOOKING FOR

  • Required Education: HS diploma
  • Associate degree, bachelor’s degree, or additional relevant training in business administration or a related field preferred.
  • 2 + years in an office administration position is preferred
  • Experience supporting managers or department leaders is preferred
  • Strong time management skills and ability to multi-task and prioritize work
  • Excellent verbal and written communication skills
  • Familiarity with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience coordinating travel arrangements and managing travel and expense systems (e.g., Concur).
  • Must have reliable transportation
  • This position requires the use of stairs, and occasionally lifting objects up to 30lbs
  • Must be a U.S. Citizen
