What this job involves:
The Project Manager is responsible for the end-to-end operational execution of workplace relocation projects across managed sites in the Latin American region. This role focuses on vendor coordination, site logistics, asset management, and ensuring seamless move execution while maintaining compliance. You will manage relocation projects across multiple LATAM countries, handling site launches, exits, campus restacks, and team moves while coordinating with vendors and local support functions. This role reports to the Senior Project Manager.
What your day-to-day will look like:
- Vendor Management
- Schedule and lead planning meetings with move vendors. Coordinate building and restricted area access and escorts for vendor staff. Monitor vendor operations during relocation execution and oversee vendor performance to ensure quality standards are met.
- Quoting & Budget Management
- Request vendors to plan scope of work and provide quotes. Review and validate quotes for Senior Project Manager approval. Track project costs and ensure budget adherence throughout the project lifecycle.
- Site Inspections & Quality Control
- Schedule and execute on-site inspections of current and future neighborhoods. Inspect workstations, IT equipment, and private offices. Review workstation configuration and conduct post-relocation compliance checks. Conduct private office quality control to ensure all spaces meet standards.
- Inventory & Asset Tracking
- Coordinate pre and post-relocation inventories. Ensure photo reports are created before and after moves. Track special equipment, prototype devices, and storage areas. Capture damaged goods within move and insurance policy parameters. Audit business storage rooms to maintain accurate asset records.
- Logistics & Execution
- Provide allocations, workstation standards, timelines, and move supplies documentation. Coordinate box delivery and pickup dates and move label distribution. Coordinate locker clear-out operations with local team. Manage unclaimed items and lost and found process. Coordinate deep cleaning post-relocation and ensure readiness of all workstations and spaces.
- Project Management
- Manage the relocation process end-to-end. Schedule site walks with support functions. Track KPI delivery for relocation operations. Prepare presentation decks for kick-off meetings. Track action items from weekly office hours. Create Move Surveys and document lessons learned findings.
- Project Closure
- Confirm all operations are complete. Archive project documentation. Handover ongoing issues to appropriate teams to ensure continuity of service.
Required Qualifications:
- 3+ years of experience in project management (facilities, construction, or workplace preferred).
- Experience managing vendors and third-party service providers.
- Strong organizational skills and ability to manage multiple projects simultaneously.
- Proficiency in project management tools such as Smartsheet, Adaptive Work, or similar platforms.
- Fluent in Spanish and English, both written and verbal.
- Ability to travel within the LATAM region as needed.
- Experience with floor plan management and space planning tools.
- Attention to detail and quality control.
- Vendor relationship management skills.
- Problem-solving under pressure.
- Cross-functional collaboration abilities.
- Timeline and deadline management capabilities.
Preferred Qualifications:
- Experience in corporate real estate or facilities management.
- PMP or similar project management certification.
- Experience working in a matrixed organization.
- Adaptability to changing priorities.
Location: Onsite - Travel within LATAM region required
