Accountabilities:

    • Provide daily administrative support to the pension administration team, ensuring efficient fulfillment of operational tasks.
    • Support training and knowledge transfer activities related to client processes and internal procedures.
    • Participate in learning and implementing new processes and workflows.
    • Manage incoming and outgoing communications, including mail, emails, and faxes.
    • Respond to team inquiries and administrative requests in a timely and professional manner.
    • Ensure compliance with audit, quality control, and peer review processes.
    • Organize and prioritize daily activities based on team requirements and client deadlines.
    • Attend and actively participate in team and department meetings.
    • Support client invoicing activities and coordination with external providers when required.
    • Assist with annual and ad hoc projects, including statements, tax documentation, audits, and other operational initiatives.
    • Requirements:

      • Strong administrative experience with excellent organizational and time-management skills.
      • Ability to manage multiple priorities and meet tight deadlines while maintaining accuracy.
      • Proficiency with Microsoft Office tools, including Word, Excel, PDF, Outlook, and Teams.
      • Familiarity with digital collaboration tools such as Google Workspace and Workday is an asset.
      • Strong attention to detail with the ability to identify errors and maintain accurate records.
      • Excellent communication skills and the ability to respond effectively to internal requests.
      • Team-oriented mindset with a willingness to collaborate and support colleagues.
      • Ability to take initiative and work independently when required.
      • Experience in administrative support, pension administration, financial services, or a related environment is an advantage.
