Accountabilities:

    The Admissions Operations Specialist will oversee key operational processes, compliance activities, and documentation initiatives that support admissions teams and business partners. This role requires strong project coordination skills, independent decision-making, and the ability to improve processes in a fast-paced environment.

    • Serve as a point of contact for policy interpretation, enforcement, and operational guidance for admissions teams, leadership, campus personnel, and external partners.
    • Support the development and implementation of new or updated procedures based on audit findings, recommendations, and system changes.
    • Create, maintain, and improve standard operating procedures (SOPs) to increase admissions efficiency and consistency.
    • Develop and manage admissions operations documentation used across multiple locations and teams.
    • Support compliance initiatives by coordinating communications, tracking acknowledgements, and ensuring timely completion of required actions.
    • Build strong relationships with business partners to support admissions objectives, compliance obligations, and organizational goals.
    • Independently prioritize and resolve operational questions, ensuring high-quality service and effective issue resolution.
    • Coordinate documentation, system updates, communications, and compliance requirements related to new hires, personnel changes, and employee transitions.
    • Manage and support multiple electronic systems and processes, including database administration, reporting, troubleshooting, and system coordination.
    • Analyze how changes across platforms may impact workflows and recommend solutions to maintain efficiency and compliance.
    • Plan and coordinate meetings, training sessions, agendas, timelines, documentation, and follow-up materials.
    • Identify operational inefficiencies and implement improvements that enhance customer service while maintaining regulatory compliance.
    • Manage special projects and additional assignments through successful completion.
    • Requirements:

      The ideal candidate is an organized and analytical operations professional with experience supporting regulated environments, process improvement initiatives, and cross-functional teams. They are comfortable managing complex workflows, communicating with diverse stakeholders, and driving projects independently.

      • Bachelor’s degree or equivalent professional experience.
      • 3–5 years of experience in higher education or another highly regulated industry.
      • Experience collaborating with internal business partners, leadership teams, and external vendors.
      • Strong understanding of compliance-driven processes, documentation, and operational procedures.
      • Excellent organizational skills with strong attention to detail and accuracy.
      • Proven project management abilities with the capacity to manage multiple priorities and deadlines.
      • Strong analytical, problem-solving, and decision-making skills.
      • Ability to communicate policies, procedures, and operational guidance clearly to diverse audiences.
      • Strong customer service and relationship-building skills.
      • Ability to work independently, take initiative, and follow projects through completion with minimal supervision.
      • Adaptability and resilience in fast-paced environments with changing priorities.
      • High level of integrity, professionalism, and ethical judgment.
      • Excellent written and verbal communication skills.
      • Advanced computer skills, including database management and familiarity with Microsoft Office tools.
      • Ability to work effectively with systems and platforms such as SharePoint, CRM tools, administrative databases, and related operational technologies.
