Gensler, a globally recognized Architecture and Design firm, is seeking an Administrative Assistant to join the Houston office. The position plays an integral role in daily business interactions. The ideal candidate is a personable and polished individual with a strong desire to learn and grow. They must also have a fundamental passion for client services.
Your Role
Will be a member of the Administrative Team and support all business functions and activities. The Administrative Assistant will work with Executive Assistant to provide administrative help in all aspects of office support for internal customers as well as our external customers visiting our office. The Administrative Assistant will have duties in the following areas: reception, service requests, catering and meeting services, daily office operations, and will provide support for internal and external events.
What You Will Do
Report directly to the Executive Assistant (EA) for daily and weekly responsibilities, priorities, and emerging deadlines
Assist Studio Coordinators with staff moves, workspace transitions, and related coordination tasks
Support Studio Coordinators with travel arrangements and logistics as needed
Support project organization and cleanup, including “dead filing” completed projects and maintaining organized records
Assist with general administrative requests as they arise across teams
Seeks opportunities to improve processes, systems, and overall workplace efficiency
Answer phones and directs calls as necessary
Provide excellent customer service at the Reception Desk when covering
Assist with set-up and clean-up of meetings
Reset conference rooms daily, as necessary
Assist Workplace Concierge to ensure a clean, tidy reception/café area at all times
Support internal events (all-staff meetings, open houses, tours, social and learning)
Assist in the planning and execution of off-site corporate events
Ensure timely follow-up on customer and internal service requests
Provide support for library operations as directed by the Resource Director and coordinated with the Executive Assistant (EA), including assisting with vendor events, organizing and returning material samples, maintaining the resource library, and supporting other library-related activities as needed.
Your Qualifications
0-3 years of related experience – experience in an administrative, customer service, or receptionist role would be beneficial, but not required
Must be an action-oriented, strong critical thinker with a desire to learn
Must be organized and detail-oriented with the ability to prioritize tasks to meet multiple deadlines
Must have excellent verbal and written communication skills
Demonstrates a positive, professional, and collaborative attitude at all times
Demonstrates innovative ways to provide effective administrative support and client experience
Proficient with Microsoft Word, Excel, and Outlook
