Position Type: 18-month maternity leave contract

Schedule: Monday to Friday, 8:00 a.m. to 5:00 p.m.

Work Location: On site

Travel: Infrequent travel to Toronto may be required based on business needs.

Position Summary

The Concierge provides front desk reception, visitor experience, administrative, office services, and workplace support to ensure a professional, organized, and welcoming office environment. This role is the first point of contact for employees, visitors, vendors, and internal stakeholders and supports day-to-day site operations, deliveries, meeting and event coordination, supply management, document preparation, records administration, and general team coordination.

The successful candidate will exercise discretion, sound judgment, and a high level of professionalism when handling confidential information, communicating with employees and visitors, and supporting internal stakeholders.

General Duties

  • Support a professional, client-focused workplace experience for employees, visitors, vendors, and internal stakeholders.
  • Contribute to the effective operation of front desk reception, office services, events, and administrative support functions.
  • Represent the company in a professional manner through daily interactions, service delivery, and communication.
  • Work collaboratively with facilities, mailroom, vendors, and other internal teams to support business needs.
  • Help control operating expenses by monitoring supply usage, obtaining pricing where required, and escalating opportunities for cost-effective service delivery.

Specific Duties and Responsibilities

  • Provide reception and visitor support, including greeting visitors, responding to general inquiries, redirecting requests, and notifying appropriate personnel.
  • Use discretion and judgment when screening visitors, telephone calls, emails, and other inquiries.
  • Assist with deliveries, incoming and outgoing mail,  courier shipments, and related office service activities.
  • Assist with meeting, conference, seminar, workshop, and workplace event support through staff-submitted service tickets, which may include accepting food deliveries, ordering office and food supplies, setting up furniture, assisting with room bookings, coordinating logistics and materials, and completing follow-up as required.
  • Maintain office supply inventory, monitor usage, place orders, and source pricing information for office supplies and equipment when needed.
  • Coordinate basic office maintenance requests and escalate facilities-related issues through the appropriate channels.
  • Maintain financial records and trackers, including updating information, performing basic calculations, and supporting accurate administrative and operational reporting.
  • Set up, maintain, classify, sort, and file electronic and hard-copy records, correspondence, and confidential documents.
  • Update and maintain confidential files and records in accordance with established policies and procedures.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Support general administrative tasks and other duties as reasonably assigned.

Qualifications and Experience

  • Previous experience in concierge services, front desk reception, administration, workplace services, office services, hospitality, facilities support, or a related role is preferred.
  • Strong customer service skills with the ability to communicate professionally with employees, visitors, vendors, and stakeholders.
  • Excellent organization, prioritization, and time-management skills.
  • Ability to manage multiple tasks in a fast-paced, on-site office environment.
  • Strong attention to detail and accuracy when preparing documents, maintaining records, and coordinating logistics.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Ability to handle confidential and sensitive information appropriately.
  • Reliable, professional, proactive, and able to work independently as well as part of a team.

Working Conditions

  • This is an on-site position with regular hours from 8:00 a.m. to 5:00 p.m., Monday to Friday.
  • Infrequent travel to Toronto may be required to support business needs, meetings, events, or site activities.
  • The role requires the ability to safely lift up to 50 lbs and regularly move office supplies, packages, and furniture to support meeting room setups, workplace events, and day-to-day office operations.
  • The position requires frequent interaction with employees, visitors, vendors, and internal service teams.

Estimated compensation for this position:

55,000.00 – 61,500.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
