What You Can Expect
Under general supervision, the Project Specialist supports cross-functional teams by developing and maintaining detailed project timelines, monitoring milestone progress, and consolidating schedule updates across multiple workstreams. The role is highly focused on Gantt chart management, progress reporting, and maintaining project data such as timeline slips, resource needs, risks, and forecasted completion dates to help ensure projects remain on track and stakeholders are informed
How You'll Create Impact
- Develops, maintains, and updates detailed project timelines and Gantt charts across multiple teams and workstreams.
- Coordinates with team leads and stakeholders to track milestones, dependencies, deliverables, and critical path activities.
- Tracks resourcing needs across teams and identifies gaps or constraints that may impact project delivery.
- Monitors schedules for delays, timeline slips, and changes in forecasted completion dates, escalating issues as needed.
- Creates and distributes regular progress reports, schedule dashboards, and project status summaries for stakeholders and leadership.
- Consolidates updates from several teams to ensure project plans reflect current status, risks, and interdependencies.
- Prepares schedule updates, progress metrics, action items, and follow-up documentation for project review meetings.
- Maintains and analyzes project data, including milestone status, timeline variances, timeline slips, and resource requirements.
- Maintains accurate project trackers, planning tools, and reporting files to support consistent schedule visibility and decision making.
- Partners with project managers and functional teams to improve reporting consistency, planning discipline, and timeline transparency.

What Makes You Stand Out
- Strong project scheduling, timeline management, and Gantt chart administration skills across multiple teams.
- Strong analytical skills with the ability to maintain, interpret, and communicate project data accurately.
- Effective communication, organization, and follow-up skills with strong attention to detail.
Your Background
- Bachelor’s or other advanced degree with at least 3-4 years of experience in project coordination, project scheduling, or project support roles....or ....
- Master’s Degree with at least 2 year of experience in project coordination, scheduling, reporting, or related project support work.
- Project management certification (such as PMP or CAPM) or other related formal training strongly preferred.
- Excel advanced level
- Analytical tools advanced level
- PMO tools to follow up and track
- English advanced level
- Ideally medical devices experience
