Accountabilities

    The Payments Admin / Deposits Specialist will manage daily payment processing activities, ensuring incoming funds are accurately recorded, reconciled, and assigned. This role requires strong attention to detail, investigative thinking, and the ability to collaborate with internal teams and external partners to resolve payment-related issues.

    • Download and review daily bank transactions, including ACH payments and checks, to ensure accurate processing.
    • Reconcile incoming payments and manually match deposits to the correct cases within internal systems.
    • Investigate complex or bulk payments by identifying payment sources, allocating funds correctly, and resolving discrepancies.
    • Research missing payments, duplicate transactions, overpayments, and other reconciliation issues.
    • Monitor shared communication channels and respond professionally to payment-related questions from external vendors and partners.
    • Communicate clearly with external stakeholders to resolve discrepancies and gather necessary payment information.
    • Submit requests through internal payment systems and collaborate with cross-functional teams on urgent payment needs.
    • Support special projects, process improvements, and operational initiatives as the team continues to grow.
    • Maintain accurate records while handling a high volume of financial transactions with consistency and reliability.
    • Requirements:

      The ideal candidate will have experience in payment processing, accounting operations, or financial data management, combined with strong organizational skills and a high level of accuracy. Success in this role requires comfort with repetitive workflows, problem-solving abilities, and confidence working with large amounts of financial information.

      • Current resident of the United States.
      • 1+ year of experience in accounts payable, accounts receivable, payment processing, bank reconciliation, financial data entry, or a related field.
      • Additional professional office experience preferred.
      • Strong proficiency with Microsoft Excel and Google Sheets, including managing, comparing, and analyzing large datasets.
      • Exceptional attention to detail with the ability to identify errors and inconsistencies.
      • Strong organizational skills and the ability to manage repetitive, transaction-focused work effectively.
      • Analytical mindset with strong investigative and problem-solving abilities.
      • Ability to remain focused and accurate while working under deadlines and managing high-volume tasks.
      • Excellent written and verbal English communication skills.
      • Ability to quickly learn new software platforms, processes, and internal tools.
      • Self-motivated, adaptable, and comfortable working independently in a remote environment.
      • Preferred: Experience with U.S. medical insurance, healthcare payments, medical billing terminology, or insurance providers.
      • Must have access to a reliable computer or laptop for remote work.
