Title: CPT-11209 Real Estate Virtual Assistant (Cold Calling and Admin Support)

Independent Contractor – CPT-11209 Real Estate Virtual Assistant (Cold Calling and Admin Support)/Real estate VA/Junior-Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

We are seeking an experienced Real Estate Virtual Assistant to support a growing real estate business focused on residential listings throughout Connecticut and New York. The ideal candidate is confident on the phone, fluent in English, highly organized, and experienced in cold calling, lead qualification, and administrative support.

The primary responsibilities of this role include outbound prospecting, appointment setting, CRM management, and assisting with day-to-day administrative tasks. As the business continues to grow, there is potential for this role to expand into Transaction Coordination responsibilities. Candidates with prior transaction coordination experience—or those interested in learning and growing into this function—are highly encouraged to apply.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Lead Generation & Appointment Setting

  • Perform outbound cold calls using Mojo Power Dialer to:
    • FSBO (For Sale By Owner) leads
    • Expired listings
    • Absentee owners
    • Pre-foreclosure leads
    • Circle prospecting for homeowners considering selling within the next 3 to 6 months
  • Qualify motivated sellers and identify listing opportunities.
  • Handle objections professionally while building rapport with prospects.
  • Schedule listing appointments directly on the agent's calendar.
  • Follow up with leads via phone, text message, and email.
  • Send follow-up communications and nurture leads throughout the sales pipeline.

CRM & Administrative Support

  • Accurately update call dispositions within Mojo Dialer.
  • Maintain the CRM with organized notes, follow-up reminders, and lead tracking.
  • Assist with listing paperwork and contract draft preparation using company-provided templates (subject to broker review).
  • Coordinate documents with clients and provide general administrative support.
  • Maintain organized digital files and transaction documentation.

Future Growth Opportunity – Transaction Coordination (Preferred)

As the business expands, this role may evolve to include Transaction Coordination responsibilities, such as:

  • Assisting with transaction coordination from contract to closing.
  • Preparing contracts, disclosures, and transaction documents using company-approved templates.
  • Supporting listing coordination and maintaining organized transaction files.
  • Tracking important transaction deadlines, including inspections, financing contingencies, appraisal dates, and closing timelines.
  • Communicating professionally with clients, attorneys, lenders, inspectors, title companies, co-brokers, and other parties throughout the transaction process.
  • Monitoring document completion and ensuring all required paperwork is submitted on time.


    Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


    Skills

    The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

    • Prior experience in cold calling is highly preferred.
    • Prior experience in real estate is preferred.
    • Fluent English with a natural, conversational speaking tone.
    • Strong communication and objection-handling skills.
    • Ability to follow scripts while maintaining authentic conversations.
    • Highly organized with exceptional attention to detail.
    • Experience with CRM management and lead tracking.
    • Reliable internet connection and quiet work environment.

    Preferred Qualifications

    • Experience working with U.S. real estate agents, brokers, or investors.
    • Familiarity with the Connecticut and New York real estate markets.
    • Experience as a Transaction Coordinator or the ability and interest to grow into a Transaction Coordinator role is highly preferred.
    • Experience preparing contracts, disclosures, and transaction documents using templates.
    • Experience tracking transaction timelines and coordinating with clients, attorneys, lenders, title companies, inspectors, and other parties involved in a real estate transaction.
    • Experience with transaction management software or real estate document management systems is a plus.

    Work Schedule

    • Contracted Hours per Week: 20 Hours
    • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
    • Daily Working Time: 10:00 AM – 2:00 PM EST

    Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

    Terms of Engagement

    • Contractors will operate under a Master Services Agreement and a Statement of Work
    • This is not an offer of employment; contractors are not employees of 20four7VA or any client
    • All compensation is processed through 20four7VA according to the terms of the engagement
