Facilities Operations Executive (Procurment Executive )
Job Summary
The Procurement Executive is responsible for sourcing, purchasing, and coordinating the supply of materials, equipment, and services required by the organization. The role involves vendor management, negotiation, purchase order processing, cost optimization, inventory coordination, and ensuring timely delivery while maintaining quality standards and compliance with company policies.
Key Responsibilities
1. Procurement & Purchasing
- Identify procurement requirements from various departments.
- Source materials, products, and services from approved vendors.
- Obtain quotations and compare prices, quality, delivery schedules, and commercial terms.
- Prepare and process Purchase Requisitions (PRs) and Purchase Orders (POs).
- Ensure timely procurement of materials to avoid operational disruptions.
- Monitor order status and follow up with suppliers for on-time delivery.
2. Vendor Management
- Develop and maintain relationships with suppliers and service providers.
- Evaluate vendor performance based on quality, cost, delivery, and service.
- Conduct supplier assessments and maintain approved vendor lists.
- Identify alternative suppliers to ensure supply continuity.
3. Price Negotiation & Cost Control
- Negotiate pricing, payment terms, lead times, and contract conditions.
- Achieve cost savings through strategic sourcing and negotiation.
- Analyze market trends and recommend cost-effective procurement solutions.
- Support budget control initiatives and procurement planning.
4. Inventory & Material Coordination
- Coordinate with stores and inventory teams to monitor stock levels.
- Ensure optimum inventory levels and prevent stock shortages or excess inventory.
- Support inventory audits and reconciliation activities.
- Track material consumption and procurement forecasts.
5. Documentation & Compliance
- Maintain procurement records, contracts, quotations, and supplier documentation.
- Ensure compliance with company procurement policies and procedures.
- Verify supplier invoices against purchase orders and delivery records.
- Prepare procurement reports and MIS related to spending and vendor performance.
6. Coordination & Communication
- Work closely with operations, projects, engineering, finance, and warehouse teams.
- Resolve issues related to supplier performance, delivery delays, and quality concerns.
- Coordinate with finance for payment processing and vendor account reconciliation.
7. Contract Management
- Assist in drafting and reviewing supplier agreements and contracts.
- Monitor contract validity, renewals, and compliance requirements.
- Ensure contractual obligations are fulfilled by suppliers.
Required Qualifications
- Bachelor's Degree in Commerce, Business Administration, Supply Chain Management, Engineering, or related field.
- Certification in Procurement, Supply Chain, or Materials Management is an advantage.
Experience
- 2–5 years of experience in procurement, purchasing, supply chain, or materials management.
- Experience in construction, manufacturing, facility management, retail, or engineering industries is preferred.

- Knowledge of procurement processes and supply chain principles.
- Excellent analytical and problem-solving abilities.
- Proficiency in MS Excel, ERP systems (SAP, Oracle, Dynamics, etc.), and procurement software.
- Strong communication and interpersonal skills.
- Ability to multitask and work under pressure.
- Good understanding of inventory control and contract management.

- Cost savings achieved through procurement activities.
