About the Role

This is the role that makes everything else run — office, people, and recruiting operations, all in one seat. The right person is someone who thrives on details others miss, moves fast with details in mind, and treats onboarding and the guest visits as a point of pride.

What You Will Do

You'll own the operational backbone of Sapiom — keeping the office stocked, organized, and running without friction, while making sure every new hire and every guest who walks through the door has a seamless experience. You'll manage vendors and budget, coordinate onboarding and offboarding end-to-end, partner with IT and cross-functional teams to get new team members set up fast, and own ogistics from scheduling through onsite hosting. The goal: an office and a hiring process that feel effortless — because you're the one making sure they are.

Responsibilities

  • Own office operations end-to-end — inventory, vendor coordination, purchasing, budget, and space planning — keeping the workplace running with zero disruption.

  • Build a seamless onboarding experience — desks, equipment, access, and workspace setup — partnering with IT so every new hire is ready to go Day 1.

  • Drive recruiting coordination — interview scheduling, candidate travel, and onsite hosting — making every candidate interaction feel effortless and professional.

  • Shape employee experience through office events, engagement activities, and team outings that people actually look forward to.

  • Manage offboarding and workspace transitions cleanly, with nothing falling through the cracks.

  • Partner across teams — IT, Talent, people, & leadership — to anticipate needs before they become problems.

Requirements

  • Demonstrated ownership of office operations, workplace experience, people operations, or administrative operations, with 2+ years in a similar function.

  • Sharp organizational instincts and exceptional attention to detail, even when juggling competing priorities in a fast-paced environment.

  • Strong communicator who builds trust easily with employees, candidates, and vendors alike.

  • Proactive and resourceful — comfortable operating independently and solving problems before being asked.

  • Experience managing vendor relationships and budgets.

  • Fluent with Google Workspace, Slack, Microsoft Office, and workplace management tools.
