Accountabilities:
- Provide comprehensive executive support by managing complex calendars, scheduling priorities, coordinating meetings, and anticipating leadership needs across multiple executives.
- Organize domestic and international travel arrangements, prepare detailed itineraries, and ensure executives are equipped with briefing materials, agendas, and relevant documentation for meetings.
- Draft professional correspondence, monitor action items, and follow up on key initiatives to ensure timely execution and effective communication.
- Coordinate leadership meetings, board preparation, company events, and executive offsites, including logistics, vendor management, and operational support.
- Process expense reports, maintain organized executive documentation, and support onboarding activities for senior leaders.
- Collaborate closely with cross-functional teams and fellow executive assistants while handling confidential information with professionalism, integrity, and sound judgment.
- Continuously identify opportunities to improve administrative processes, streamline workflows, and enhance executive operations.
- 5+ years of experience supporting C-suite executives, preferably within a fast-paced, high-growth, startup, or healthcare-related environment.
- Demonstrated ability to manage multiple executive calendars, competing priorities, and changing schedules with exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills, including experience drafting executive-level communications and interacting with internal and external stakeholders.
- High emotional intelligence, strong interpersonal skills, and the ability to build trusted relationships across all levels of an organization.
- Proven ability to handle highly confidential information with discretion, professionalism, and sound judgment.
- Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive), Slack, Zoom, and other modern collaboration tools.
- A proactive, resourceful, and solutions-oriented mindset with the ability to anticipate challenges before they arise.
- Experience within healthcare, health technology, or mission-driven organizations is considered an advantage.
- Competitive annual salary ranging from $85,000 to $125,000, based on experience and location.
