The Administrative Assistant II is an experienced administrative support person who provides a wide variety of administrative support services including budget preparation and control activities, preparation and control of records, statistics and reports regarding operations and personnel matters. She/he may serve as administrative liaison with others related to purchasing, human resources, facilities and operations.

  • Coordinates laboratory operations by maintaining glassware inventory, arranging washing and sterilization, and ensuring laboratory support areas remain organized and functional.
  • Assists with routine laboratory maintenance by coordinating equipment repairs, submitting engineering work requests, and monitoring the status of facility-related issues.
  • Processes purchase requisitions and orders for laboratory supplies, equipment, and maintenance services; monitors inventory levels and replenishes supplies as needed.
  • Coordinates vendor services, including laundry services for lab coats and environmental disposal of laboratory equipment.
  • Receives, sorts, and distributes departmental mail and packages; monitors deliveries of laboratory supplies, including dry ice.
  • Assists with maintaining laboratory safety and compliance by monitoring shared laboratory spaces and supporting Environmental Health & Safety requirements, including safety equipment and biohazard disposal procedures.
  • Monitors shared laboratory equipment and storage units, including freezers and temperature monitoring systems, and reports issues requiring attention.
  • Maintains departmental inventory records, including asset tagging and tracking of laboratory equipment.
  • Provides cross-coverage for laboratory support functions, including glassware services and routine monitoring of laboratory resources, as needed.
  • Serves as a liaison with Engineering, Environmental Health & Safety, Purchasing, vendors, and other institutional departments to coordinate operational and maintenance needs.
  • Investigates and helps resolve routine operational issues affecting laboratory and departmental operations.
  • Performs other administrative and operational support duties as assigned.
  • Associates degree or equivalent combination of experience (Bachelors preferred).
  • 4+ years related administrative or business experience
