About the Role

We are seeking a detail-oriented Move-In Coordinator to manage the move-in process for new residents across U.S.-based residential property portfolios. This role is responsible for ensuring every move-in is completed accurately and on time by coordinating lease documentation, resident communications, property readiness, and internal teams.

The ideal candidate has experience in U.S. property management, excellent organizational skills, and a customer-first mindset.

Key Responsibilities

Move-In Coordination

  • Coordinate the end-to-end move-in process for approved applicants.
  • Schedule move-in dates and ensure all requirements are completed before occupancy.
  • Prepare and review lease agreements and move-in documentation.
  • Collect required documents, payments, and signatures prior to move-in.
  • Ensure utility transfer requirements and resident onboarding tasks are completed.

Resident Communication

  • Serve as the primary point of contact for incoming residents throughout the move-in process.
  • Send welcome emails, move-in instructions, and community information.
  • Respond promptly to resident questions regarding leases, move-in procedures, and property policies.

Property Readiness

  • Coordinate with maintenance and property managers to ensure units are move-in ready.
  • Verify completion of inspections, cleaning, repairs, and key preparation.
  • Report any delays or issues that may affect scheduled move-ins.

Administrative Support

  • Maintain accurate records within the property management system.
  • Update resident files, lease documents, and move-in checklists.
  • Generate move-in reports and track upcoming move-ins.
  • Ensure compliance with company policies and Fair Housing regulations.

Qualifications & Requirements

  • Minimum 2 years of U.S. property management experience.
  • Experience coordinating move-ins, leasing, or resident onboarding.
  • Experience using AppFolio, Buildium, Yardi, Rent Manager, Propertyware, or similar property management software.
  • Strong understanding of lease agreements and move-in procedures.
  • Excellent customer service and communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple move-ins simultaneously while meeting deadlines.

Additional Requirements

  • Must be currently residing in the Philippines or Latin America.
  • Must have a stable internet connection and a remote-ready workstation.
