Administrative Coordinator - Medical Genetics Practice
The Administrative Coordinator supports the Inherited Metabolic Diseases Service and the Clinical Genetics Service by providing hands-on administrative and care coordination support to a multidisciplinary clinical team. This role helps ensure timely patient access to care through referral management, Epic work queue maintenance, insurance coordination, and cross-coverage of both services. The coordinator works alongside two experienced administrative coordinators currently in
these roles.
Key Responsibilities
• Manage daily referral work queues in Epic for Metabolic and Clinical Genetics Services
• Review and follow up on referrals to support timely scheduling
• Provide administrative support to geneticists, genetic counselors, nurse practitioners, and dietitians
• Serve as a point of contact for patients, families, and referring providers
• Maintain accurate documentation in the Epic electronic medical record
Metabolic Service–Specific
• Obtain prior authorizations for specialty medications, metabolic formulas, and medical foods
• Coordinate with insurance payers, pharmacies, and vendors
• Track approvals, denials, and renewal timelines
Team Collaboration & Cross-Coverage
• Provide cross-coverage across both services to ensure continuity
• Partner closely with two experienced administrative coordinators for shared coverage and training
- Bachelors Degree or equivalent combination of applicable
- 5 years related administrative or business experience required. Some supervisory experience preferred. experience and education
- Strong attention to detail, follow-up, and organizational skills
- Ability to work independently and collaboratively
- Clear written and verbal communication skills
