Compensation Range:

$96,860.00 - $145,290.00

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

Work under the general direction of the Division Chief of the Sleep Center division with oversight by the Program Administrator for the Department of Neurology. Demonstrate independence and latitude to exercise judgment. Provide administrative and managerial support with all aspects of administration for the divisions and assure the necessary support for all divisional activities. This includes planning, directing and coordinating all phases of the fiscal, administrative, and personnel functions within the divisions. Maintain strong working relationships with all division faculty and department administrators as well as all hospital and medical school administrative staff.

Essential Functions:

  • Manage clinical, administrative and financial activities for Sleep Center division. Responsibilities include operating and capital budget preparation, financial analysis, program planning and development, facilities, and information systems. Develop monitor and control the hospital accounts. Prepare and administer the capital and operating budgets in conjunction with department finance team. Review monthly reports from Department and hospital to identify trends and explain variances.  Manage fiscal aspects of the division, including monitoring and controlling expenses.
  • Develop, interpret and track statistical measures and reports designed to monitor provider productivity. Review monthly reports for division and Hospital to identify volume trends and address both positive and negative variances. Ensure proper payment for work undertaken.  Provide oversight of division operations and collaborate with leaders to create optimal workflows that reduce waste and improve patient outcomes.  Facilitate institutional resources to troubleshoot issues such as IT, finance, space, and work to resolve patient-related matters.  Provides ongoing communication of any clinical scheduling and communication issues. 
  • Oversee practice managers in all locations, includes oversight of referrals and prior authorizations for Sleep Clinic. Partners with Nurse Manager, Clinic Director and Lead Sleep Technologist to ensure smooth clinical operations. 
  • Monitor schedule utilization, physician productivity and patient access and determines any appropriate actions to keep utilization at an acceptable level.  Act as a member of the Ambulatory Clinical Council to represent the divisions. Monitors patient satisfaction results for the divisions and work with Chief to resolve any patient issues.
  • In collaboration with Program Administrator and Department HR Business Partner, provide guidance to faculty and staff on all aspects of personnel administration, including recruitment, hiring, supervision, performance evaluation and management, compensation, progressive discipline, termination, employee rights and privileges, sick leave and vacation, disability, and employee benefits. Manage, develop, and train office clerical staff and manage prioritization and workload allocation. Monitor staff compensation levels on a continuing basis.
  • In collaboration with Research Administrators, provide operational support to research projects. Assist with posting, hiring, and managing research support staff as necessary for projects as well as procurement of goods and services. Maintain up to date knowledge of research portfolio for the division to understand projected challenges to fiscal operations or projected needs. Support the management and maintenance of documents for research projects as needed.
  • Oversee procurement/purchasing functions for all division accounts including reconciliation with University reports, problem resolution, and analysis of revenue and expense trends. Make recommendations to division faculty and staff regarding compliance with University policies and procedures of Finance, Accounting, and procurement.
  • Collaborate with the Residency Administrator and Fellowship Directors to coordinate the fellowship programs by assisting with recruiting fellows, coordinating orientation and schedules, and assisting with reimbursements, certifications and compliance.

Minimum Education & Experience:

  • Bachelor's degree required
  • Master’s degree preferred
  • 6 years of relevant experience required
  • Or equivalent combination of education and experience
     

Knowledge, Skills & Abilities:

  • Previous experience developing annual capital and operational budgets preferred.
