Facility Coordinator – JLL

What this job involves: As a Facility Coordinator at our Hopewell, NJ campus, you'll serve as a vital link between procurement operations, facility management, and exceptional customer service delivery. Supporting multiple accounts within a dynamic campus environment, you'll take ownership of the complete procurement lifecycle—from requisition management and vendor relationships to budget tracking and financial reporting. This role combines strategic purchasing expertise with hands-on facility coordination, where your organizational skills and customer-focused approach will ensure seamless operations and client satisfaction. You'll work collaboratively with site leadership, clients, vendors, and facility teams to create an efficient, well-maintained environment that supports business objectives. What your day-to-day will look like:

  • Manage the complete procurement cycle including requisitions, purchase orders, vendor contract development, and invoice receipt across JLL and client systems for multiple accounts.

  • Monitor and track budgets, provide financial reporting, and ensure cost-effective spend management aligned with site objectives and client expectations.

  • Serve as the primary interface with clients, visitors, and guests, delivering responsive, professional customer service while resolving spontaneous situations with creativity and diplomacy.

  • Utilize CMMS systems to coordinate, schedule, and dispatch maintenance activities to technical staff, vendors, and service providers, ensuring timely completion with minimal disruption.

  • Support soft service coordination including janitorial, pest control, waste management, uniforms, vending, and conference room services to maintain optimal facility operations.

  • Manage site security access and badge management programs, assist with employee onboarding, and ensure building pantries and supply inventories are maintained daily.

  • Collaborate with site leadership on tactical planning, audit support, account reporting, and continuous process improvement initiatives to enhance client satisfaction and service delivery.

Required Qualifications:

  • High school diploma or equivalent with 3-5 years of experience in facility coordination, procurement, customer service, or related operational support roles.

  • Financial acumen with demonstrated ability to manage budgets, track expenditures, and provide accurate financial reporting for projects and operations.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and ability to learn facility management software systems quickly.

  • Excellent interpersonal and customer service skills with ability to interact professionally with diverse stakeholders including clients, vendors, and internal teams.

  • Strong organizational and analytical capabilities with proven ability to multi-task, prioritize competing demands, and work independently in a dynamic environment.

  • Exceptional verbal and written communication skills with attention to detail and commitment to delivering quality results.

  • Team player mentality with collaborative approach to problem-solving and ability to function effectively under pressure.

Preferred Qualifications:

  • Experience in facility management, corporate real estate, or campus operations environment.

  • Familiarity with CMMS (Computerized Maintenance Management Systems) or work order management platforms.

  • Knowledge of procurement processes, vendor management, and contract administration.

  • Background in budget management, purchase order systems, and financial tracking.

  • Experience supporting soft services coordination (janitorial, waste management, vending operations).

Location: Hopewell, NJ

Work Shift:  The standard schedule for this role is generally 7:00 a.m. to 3:30 p.m Monday to Friday.

Salary: $28.84 - $31.25

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.

Estimated compensation for this position:

60,000.00 – 65,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
