This individual will ensure compliance with contractual obligations, support the service team, and drive continuous improvement in workshop operations.This role demands a structured, disciplined, and detail-oriented individual who thrives in an environment where accuracy, follow-through, and organization are essential. You will manage service work orders, track financials, maintain communication across internal teams, and support quality control and customer satisfaction.At the same time, success in this position requires someone who is also outgoing, persuasive, and highly energetic—a professional who can positively influence others, motivate team members, and build relationships across the business.Key ResponsibilitiesOpen and manage service work orders (SWOs) with precision and follow-throughCarefully review and process quotes and orders to ensure accuracyRecord and track technician time, travel expenses, and project detailsInvoice and reconcile service orders, resolving discrepancies proactivelySupport Accounts Receivable inquiries and coordinate resolutionsCommunicate with internal and external stakeholders to drive efficiency and collaborationAssist with workshop organization, quality control, and process improvementsContribute to staff development through cross-training and growth plansPrepare clean, accurate billing and reporting within 5 days of job completionEnsure compliance with safety, cost management, and customer satisfaction goalsRequired Skills, Experience & AbilitiesAssociate’s or Bachelor’s degree in supply chain, technical science, or related field OR 3+ years of related work experienceTechnical knowledge of maritime or energy industry (preferred)Strong customer service orientation with excellent communication skillsExperience with ERP systems and proficiency in Microsoft Office (Excel, Word, PowerPoint)Experience with Infor/Syteline ERP systems and Power BI reporting and analytics tools (preferred) Ability to read and interpret technical drawings (standard and metric) (preferred)Previous office and administrative experience in a fast-paced, dynamic work environment Strong organizational skills with the ability to manage multiple priorities simultaneouslyReliable, self-directed, and motivated; able to work independently with minimal supervisionAbility to work in a collaborative work environmentNegotiation and problem-solving skills with a proactive approach to challengesFlexible and resilient under shifting priorities, deadlines, and pressureValid drivers licensePrevious industrial warehouse experience (preferred)Forklift certified (preferred)Compensation & BenefitsPay Range: $25.00 – $29.00 per hour (based on experience)We offer a comprehensive benefits package to support you and your family, including:Medical, Dental, and Vision Insurance401(k) Retirement Plan with Company MatchPaid Time Off (PTO) and Paid HolidaysLife and Disability InsuranceEmployee Assistance Program (EAP)Career development and advancement opportunitiesSupportive, team-oriented cultureIf you are a detail-oriented professional who thrives in structured work yet loves influencing and motivating others, we’d love to hear from you.
