Transport Manager - India (Manufacturing/Factory Environment)
Position Overview
The Transport Manager is responsible for managing all inbound and outbound logistics, material movement, and transportation operations for manufacturing facilities across India. This role ensures seamless supply chain operations, timely delivery of raw materials, efficient dispatch of finished goods, and compliance with industrial transport regulations while optimizing costs and maintaining safety standards.
Key Responsibilities
Inbound and Outbound Logistics
- Manage end-to-end transportation of raw materials, components, and finished goods
- Coordinate with suppliers and customers to ensure timely pickups and deliveries
- Plan and optimize delivery routes and schedules to meet production requirements
- Oversee loading and unloading operations ensuring proper handling and documentation
- Manage vendor scheduling and dock management to minimize wait times and congestion
- Coordinate with production planning and warehouse teams for seamless material flow
Fleet and Vendor Management
- Manage company-owned fleet and third-party logistics (3PL) service providers
- Select, evaluate, and onboard transport vendors including truck operators and courier services
- Negotiate freight rates and contracts to achieve cost targets
- Monitor vendor performance through KPIs (on-time delivery, damage rates, service quality)
- Maintain relationships with transporter associations and regional logistics networks
- Manage vehicle allocation and ensure optimal fleet utilization
Warehouse and Yard Operations
- Oversee factory yard management including vehicle entry/exit and parking
- Coordinate material handling equipment (forklifts, cranes) operations for loading/unloading
- Ensure proper segregation of incoming, outgoing, and return materials
- Manage dispatch documentation including delivery challans, e-way bills, and transport receipts
- Implement FIFO/LIFO principles for material dispatch as per production requirements
Compliance and Regulatory Management
- Ensure compliance with Motor Vehicles Act, Central Motor Vehicle Rules, and state transport regulations
- Manage all transport permits, vehicle fitness certificates, insurance, and pollution certificates
- Ensure GST e-way bill compliance for interstate and intrastate movement
- Maintain records per Factory Act requirements and industrial regulations
- Ensure compliance with hazardous materials transportation regulations (if applicable)
- Coordinate with RTO, transport authorities, and regulatory bodies
Safety and Risk Management
- Implement and enforce safety protocols for loading/unloading operations
- Conduct driver safety training and ensure adherence to safe driving practices
- Manage vehicle maintenance schedules to prevent breakdowns and ensure roadworthiness
- Oversee cargo insurance and claims management for damages or losses
- Investigate transport incidents and implement corrective actions
- Ensure proper securing and packaging of goods to prevent in-transit damage
Cost Management and Optimization
- Develop and manage annual transport and logistics budgets
- Track freight costs, fuel consumption, and operational expenses
- Identify cost optimization opportunities through route planning and load consolidation
- Implement fuel management systems and monitor consumption patterns
- Negotiate volume discounts and optimize transport modes (FTL/LTL/parcel)
- Prepare regular cost analysis and variance reports
Technology and Systems
- Utilize Transport Management Systems (TMS) for planning and tracking
- Implement GPS/RFID tracking for real-time shipment visibility
- Use ERP systems for transport order management and documentation
- Generate reports on transport performance, costs, and service levels
- Leverage data analytics for route optimization and performance improvement
Coordination and Stakeholder Management
- Collaborate with procurement, production, warehouse, and sales teams
- Coordinate with customers regarding delivery schedules and requirements
- Manage escalations related to delays, damages, or service failures
- Communicate with plant management on logistics performance and challenges
- Build relationships with local transport authorities and vendor networks
Employee Transport (if applicable)
- Manage employee shuttle services for factory shifts
- Ensure safe and timely transportation of factory workers
- Coordinate routes covering residential areas and factory locations
Required Qualifications
Education and Experience
- Bachelor's degree in Logistics, Supply Chain Management, Mechanical Engineering, or related field
- 6-10 years of experience in transport and logistics management in manufacturing/industrial environment
- Experience managing both inbound raw material and outbound finished goods logistics
- Strong understanding of factory logistics and material handling operations
- Experience with automotive, FMCG, pharmaceutical, or heavy manufacturing sectors preferred
Technical Knowledge
- Deep knowledge of Indian transportation laws, Motor Vehicles Act, and GST e-way bill regulations
- Understanding of Factory Act compliance related to transport operations
- Familiarity with hazmat transportation regulations (if handling chemicals/dangerous goods)
- Knowledge of freight forwarding, customs clearance, and import/export procedures (if applicable)
- Understanding of warehouse management and inventory principles
Skills and Competencies
- Strong vendor negotiation and contract management skills
- Proficiency in Transport Management Systems (TMS) and ERP platforms (SAP, Oracle)
- Advanced MS Excel skills for data analysis and reporting
- Excellent route planning and optimization capabilities
- Strong analytical and problem-solving abilities
- Outstanding communication and coordination skills
- Ability to work in fast-paced manufacturing environments with tight deadlines
- Crisis management and quick decision-making skills
Additional Requirements
- Knowledge of material handling equipment and operations
- Understanding of cargo insurance and claims processes
- Willingness to work extended hours during production peaks or emergencies
- Valid driver's license
- Experience with ISO 9001, ISO 14001, or similar quality/environmental certifications preferred
