About the Role
The Executive Assistant is an integral part of Latham’s Workplace Experience and Global Real Estate team. This role will be responsible for providing dedicated administrative support to the Chief Officer within the Workplace Experience department, with primary responsibility for managing their schedule, travel, and expenses, while managing the Chief Officer’s calendar, including scheduling across multiple time zones, resolving conflicts, and helping prioritize time effectively. The Executive Assistant will also support department directors and the senior leadership team, while assisting with department-wide administrative coordination, communications, and special projects. This role will be located in our New York office.
Responsibilities & Qualifications
Other key responsibilities include:
- Coordinating all travel logistics for the Chief Officer, including booking flights, hotels, ground transportation, and managing itinerary changes with speed and accuracy
- Managing expense submissions, receipt tracking, and reconciliation on behalf of the Chief Officer in a timely manner
- Supporting the Senior Administrative Manager with administrative coordination, including organizing meetings, planning off-sites, and handling other operational logistics
- Handling highly confidential and sensitive information with the utmost discretion and maintaining trust across all levels of the organization
- Working with people across the firm, using good judgment, tact, and discretion to keep coordination on track
- Protecting and maintaining any highly sensitive, confidential, privileged, financial, and/or proprietary information that Latham & Watkins retains
We’d love to hear from you if you:
- Possess a proven ability to handle highly confidential and sensitive information with absolute discretion and trustworthiness
- Demonstrate a strong professional presence and emotional intelligence, with the ability to adapt communication styles and lead with empathy in professional settings
- Exhibit strong written and verbal communication skills, with the ability to prepare polished communications and presentation materials for senior leaders and executive audiences
- Exhibit a demonstrated ability to handle sensitive interpersonal situations with maturity, tact, and sound judgment
And have:
- A high school diploma or equivalent
- A bachelor’s degree, preferably
- A minimum of four (4) years of experience in executive or administrative support
- Experience at a professional services or law firm, preferably
- Experience supporting C-suite or senior leadership in a fast-paced, high-stakes environment, preferably
