The Senior Transport Executive is responsible for planning, managing, and optimizing employee transportation services to ensure safe, reliable, and efficient commute solutions for staff. This role oversees fleet operations, vendor management, route planning, and compliance with transportation regulations while delivering excellent service to employees and maintaining cost-effectiveness

Key Responsibilities

Employee Transport Operations Management

Plan and execute daily employee transportation operations including pickup/drop schedules, route assignments, and vehicle allocation. Monitor real-time fleet operations and address service disruptions, delays, or emergencies promptly. Coordinate transport schedules with shift timings, office hours, and special business requirements. Manage employee transport requests, route changes, address updates, and service modifications. Ensure adequate vehicle capacity during peak hours and special events.

Route Planning & Optimization

Design and optimize transportation routes based on employee locations, traffic patterns, and time efficiency. Conduct regular route analysis to minimize travel time, fuel consumption, and operational costs. Implement route adjustments based on employee feedback, location changes, and operational requirements. Use GPS tracking and route optimization software to enhance efficiency.

Vendor & Service Provider Management

Manage relationships with transport vendors, and other service providers. Negotiate contracts, service agreements, and pricing with transportation vendors. Conduct vendor performance evaluations based on punctuality, safety, vehicle condition, and service quality. Ensure vendors comply with contractual obligations and service level agreements. Manage vendor onboarding, documentation, and payment processing.

Fleet & Vehicle Management

Oversee company-owned or leased vehicle fleet including maintenance schedules, insurance, and documentation. Ensure all vehicles meet safety standards and are properly maintained. Monitor vehicle condition through regular inspections and coordinate repairs/replacements. Manage vehicle allocation, utilization tracking, and lifecycle planning. Maintain accurate fleet records including registration, permits, and compliance documents.

Driver Management & Coordination

Supervise and coordinate drivers including performance monitoring, scheduling, and attendance tracking. Ensure drivers possess valid licenses, undergo background verification, and complete required training. Implement driver safety programs, conduct regular briefings, and enforce code of conduct. Address employee complaints or concerns regarding driver behavior promptly and professionally. Manage driver rosters, leave planning, and backup arrangements.

Compliance & Safety

Ensure full compliance with transport regulations, motor vehicle laws, and local authority requirements. Maintain all statutory documents including vehicle permits, fitness certificates, insurance policies, and pollution certificates. Implement and monitor safety protocols, emergency procedures, and incident response plans. Conduct regular safety audits of vehicles and operations. Investigate accidents, incidents, or near-misses and implement corrective actions. Ensure driver training on defensive driving, first aid, and emergency response.

Employee Service & Communication

Serve as primary point of contact for employee transportation queries and issues. Maintain employee transport database with accurate pickup/drop locations and contact information. Communicate schedule changes, route modifications, or service disruptions effectively to employees. Gather and act on employee feedback to improve service quality. Coordinate special transportation requirements for events, meetings, or client visits.

Technology & Systems Management

Implement and manage transportation management systems, GPS tracking, and employee transport apps. Monitor real-time vehicle tracking and ensure adherence to routes and schedules. Generate reports from transport management systems on utilization, delays, and performance metrics. Leverage technology for route optimization, attendance tracking, and service improvement.

Budget & Cost Management

Develop and manage employee transportation budget including vendor costs, fuel, maintenance, and other expenses. Track transportation expenses and identify cost optimization opportunities. Analyze cost per employee, cost per kilometer, and other efficiency metrics. Prepare budget forecasts and variance reports. Evaluate cost-benefit of in-house fleet versus vendor services.
