Job Summary

As a Recruiting Coordinator, you will play an essential role on our recruiting team. You will support recruiters as we guide candidates through the stages of the interview process. Specifically, you will own interview scheduling, candidate communications, and recruiting logistics. This role is ideal for someone with attention to detail, sense of urgency, and a positive attitude which will enable you to create an exceptional experience for our candidates and hiring teams. You should be a self-motivated team player with a strong sense of ownership and insatiable curiosity.


What You’ll Do

  • This role is focused on coordination and operations.

  • Own and maintain Ashby, our ATS: Keep candidate records, stages, and pipeline data clean and accurate.

  • Build out new job postings in Ashby, working with the recruiting team to ensure role details, requirements, and configurations are set up correctly.

  • Partner with the Recruiting Ops Specialist to build and maintain Ashby dashboards and reports, helping the team track hiring metrics.

  • Support interview scheduling and logistics, helping ensure candidates and interviewers have everything they need.

  • Audit pipeline data regularly, flagging inconsistencies and ensuring the recruiting team has reliable, up-to-date information.


Key Requirements

  • 2+ years of experience in recruiting coordination, or a related field, or demonstrated transferable skills through prior work experience, projects, or leadership roles.

  • Prior ATS experience, familiarity with Ashby is a bonus.

  • Proficiency in Google Workspace: Comfortable working in Gmail, Google Calendar, Sheets, and Docs on a daily basis.

  • Strong AI skills and experience with AI scheduling tools.

  • Exceptional attention to detail: You notice when something's off and take pride in keeping things accurate.

  • Must be able to work independently while coordinating complex scheduling across multiple stakeholders. Self-motivated, highly organized, and able to navigate scheduling processes with minimal guidance.

  • Strong written and verbal communications skills

Pay & Benefits

The pay range for this position is $35-$50 per hour and will depend on your qualification and skills. This is a contractor position based in Palo Alto, CA. The role is hybrid, with an expectation of working on-site at least 3 days per week.
