Your New Role...

In this role, you will be a key member of the Nordic business, supporting leaders, teams and business initiatives across multiple functions. You will play an important role in connecting departments, enabling effective operations, fostering an engaging workplace culture and supporting leadership priorities.
 

Reporting to the Manager of Exec Operations, you will contribute to a broad range of leadership, community and business support activities while helping to deliver projects and operational excellence across the organisation.

Your Role Accountabilities...

  • Coordinate complex calendars, meetings and travel arrangements across multiple time zones, including the preparation and distribution of agendas, materials, notes, minutes and other meeting documentation.

  • Provide day-to-day operational support through expense management, purchase orders and administrative activities, ensuring processes are completed accurately and efficiently.

  • Initiate and deliver community events and engagement initiatives that promote collaboration, culture-building and a positive employee experience.

  • Support the planning and execution of meetings, events and special projects, including logistics, documentation and stakeholder coordination.

  • Coordinate business projects to achieve agreed milestones, deadlines and budget requirements while collaborating with key stakeholders across the organisation.

  • Act as a key point of contact for the Community Lead, selected leadership team members, service providers and administrative partners across the business.

  • Provide hands-on support to the Manager of Exec Operations by coordinating business initiatives and preparing high-quality presentations, decks and materials for leadership and executive audiences.

Qualifications & Experience…

  • Previous experience in a similar role, such as Executive Assistant, Coordinator or Project Leader; relevant student experience will also be considered.

  • Proven ability to deliver excellent service, work independently, manage changing priorities and take a proactive, solution-focused approach.

  • Demonstrated ability to handle sensitive information and maintain a high level of confidentiality.

  • Experience supporting both administrative operations and business-focused activities; familiarity with systems such as Concur, SAP or similar platforms is advantageous.

  • Strong proficiency in English and Norwegian (or Danish/Swedish)
