Job Summary

Shambaugh & Son L.P. is seeking an Administrative Assistant for Fire Protection National Service Division. In this role you will be responsible for providing organizational and administrative support to ensure efficient day-to-day operations. This role serves as a key resource for internal teams, customers, and leadership by managing communications, coordinating schedules, maintaining records, and supporting operational processes.

Essential Duties & Responsibilities

  • Provide administrative support to leadership and department personnel. 
  • Manage calendars, schedules, meetings, and travel arrangements as needed. 
  • Prepare, organize, and maintain documents, reports, and records. 
  • Answer and direct customer and employee inquiries in a professional manner. 
  • Assist with data entry, filing, purchase orders, and invoice processing. 
  • Coordinate office communications, meetings, and special projects. 
  • Support onboarding activities and training documentation. 
  • Ensure accurate and timely completion of administrative tasks. 
  • Other duties as assigned.

 

Qualifications

  • High school diploma or equivalent; associate degree preferred. 
  • 2+ years of administrative, office support, or customer service experience. 
  • Strong organizational skills and attention to detail. 
  • Excellent verbal and written communication skills. 
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams. 
  • Ability to manage multiple priorities while maintaining accuracy and professionalism. 
  • Regular and reliable attendance, including the ability to work extended hours and weekends as required.
