Position Overview
Skild AI is looking for a hands-on, reliable Facilities & Logistics Specialist to support the physical operations of our expanding office footprint, workplace, and related facilities needs.
This is a highly practical, onsite role for someone who is comfortable jumping in wherever needed — setting up desks and workspaces, moving furniture and equipment, organizing storage areas, receiving and moving shipments, supporting office reconfigurations, operating a forklift, driving a U-Haul or similar vehicle when needed, and helping keep the workplace safe, organized, clean, and functional.
This person will partner closely with the Workplace Manager and Operations team to make sure employees have the spaces, materials, and physical support they need to do their best work.
Responsibilities
- Support day-to-day facilities and workplace operations across the San Mateo office.
- Support light day-to-day workplace upkeep, including tidying shared spaces, resetting conference rooms, addressing minor spills or messes, and helping keep office and storage areas clean, organized, and ready for use.
- Coordinate with janitorial and cleaning vendors to ensure the office is consistently clean, well-maintained, and stocked, escalating recurring issues as needed.
- Set up desks, workstations, furniture, equipment, and shared spaces to ensure employees have the spaces and materials they need.
- Assemble, move, repair, reposition, and organize office furniture, fixtures, equipment, and materials.
- Support office reconfigurations, team moves, event setup and breakdown, and ad hoc space changes.
- Move items to and from storage, and keep storage areas clean, safe, and organized.
- Receive, unpack, move, and distribute inbound shipments and deliveries.
- Package and prepare outbound shipments, including palletizing and coordinating pickup where needed.
- Operate a forklift and other moving equipment safely and appropriately.
- Drive U-Haul trucks, box trucks, vans, or similar vehicles when needed for office or facilities logistics.
- Conduct routine inspections of office, storage, shared spaces, and back-of-house areas to identify repairs, safety concerns, organization needs, or improvement opportunities.
- Support light facilities maintenance and repairs, including minor fixes, patching, painting, furniture adjustments, and basic troubleshooting.
- Monitor and escalate issues related to HVAC, electrical, plumbing, access, lighting, and other building systems as needed.
- Track facilities requests, work orders, updates, and follow-ups to ensure issues are completed in a timely and organized way.
- Coordinate with maintenance, moving, shipping, and other facilities vendors to ensure work is completed to standard.
- Partner with the Workplace Manager on physical office needs, including furniture moves, setup requests, event logistics, workspace readiness, and facilities prioritization.
Preferred Qualifications
- Experience in facilities, logistics, warehouse operations, shipping/receiving, maintenance, workplace operations, porter services, or a similar hands-on operational role.
- Comfort with physical work, including lifting, moving, assembling, organizing, and transporting furniture, materials, and equipment.
- Forklift certification or willingness and ability to become certified.
- Valid driver’s license and comfort driving U-Haul trucks, vans, box trucks, or similar vehicles.
- Experience with palletized shipments, loading/unloading, shipping/receiving, or warehouse-style logistics.
- Familiarity with basic facilities upkeep, vendor coordination, light repairs, and workplace maintenance.
- Strong attention to safety, follow-through, and practical problem-solving.
- Reliable, responsive, and willing to jump in wherever needed.
- Comfortable working onsite 5 days/week in a fast-moving startup environment.
- Good communication and collaboration skills and the ability to coordinate with employees, vendors, and internal teams.
- A proactive mindset — you notice what needs to be done and take ownership without waiting to be asked.
Pay range is $30-$35/hr
