Job Summary
S.A. Comunale is seeking an Administrative Assistant - Contracts/Insurance.
The primary function of this position is to help the Contract/Insurance Manager maintain spreadsheets and certificates. This position will also work closely with the Branch Administrative Assistants.
This job requires attention to detail with a focus towards Terms & Conditions data entry, accuracy, and communication.
Essential Duties & Responsibilities
Primary duties and responsibilities include the following. Other duties may be assigned.
- Friday’s team reports (each individual plus contracts sent to VPs)
- Monday’s executive contract report
- Comparing Job Cost Associate’s report to our spreadsheet
- Contract Review Sheet vs Job # report
- Outstanding contracts w/VPs report
- Accounts over $250k removed from Executive Report
- Help department manager with managing daily emails
- Add electronic contracts on spreadsheet, job folder and Document Crunch
- Share Document Crunch contracts with salesman, project manager and reviewer
- Help with scanning signed contracts to folders and TCMS
- Help with getting executed contracts and saving in job folders and TCMS
- Assist with uploading tax-exempt certificates to PO Lookup and TCMS
- Assist with reviewing insurance certificates for accuracy and compliance
Qualifications
- High school diploma or GED is required.
- 2+ years’ experience of office or administrative assistant is required.
- Experience with insurance and contract a plus.
- Previous experience in the construction or fire protection industries a plus.
- Significant experience with Microsoft Office (i.e., Word, Excel) applications is required.
